A false chargeback claim is a payment-dispute allegation that conflicts with the relevant transaction facts. The conflict may result from confusion, an unrecognized purchase, or deliberate misuse of the dispute process. Your response should establish what happened with claim-specific evidence rather than assume the customer’s intent.

Distinguish a False Claim From a Valid Dispute

A legitimate cardholder can dispute a transaction made with stolen credentials. That is different from a customer disputing their own valid purchase. Treating both as friendly fraud can lead your team to contest a valid unauthorized-payment claim with evidence that only shows fulfillment.

The term friendly fraud is often used for first-party disputes involving an otherwise legitimate purchase. It does not establish that every customer knowingly lied. Record the alleged problem separately from your internal assessment and the eventual issuer decision.

Use neutral working labels such as claim contradicted by delivery record, refund status unresolved, or evidence insufficient. These labels describe what your team knows and make it easier to revise a decision when new information arrives.

Preserve the Timeline and the Exact Disputed Amount

Start with the case ID, payment ID, order ID, allegation, reason code, amount, currency, and deadline. Collect records from payments, support, fulfillment, and the customer account before writing the response. Keep original timestamps and explain any relevant time-zone differences.

For a split order, connect each parcel to its contents. For a partial refund, identify what remains unpaid or disputed. For a subscription, distinguish enrollment, renewal, cancellation, and usage. The chargeback evidence matrix helps map these records to the issue under review.

An example: a customer says a jacket never arrived, but the delivery record relates to shoes from the same order. That scan does not contradict the jacket claim. Locate the jacket’s parcel and actual delivery event before describing the complaint as false. If the missing item was never shipped, document the fulfillment error instead.

Use Verification Signals Within Their Limits

Payment verification can inform an investigation without proving every element of a dispute. Stripe’s verification documentation explains that address checks can fail for legitimate payments and that CVC verification does not protect against physical card theft. A match is not a complete account of who placed the order.

Combine relevant records rather than relying on a single signal. Account age, previous orders, device activity, and customer messages may supply context, but each needs a clear connection to the disputed payment. Avoid collecting unrelated personal information solely to make the case file look more substantial.

If account compromise is suspected, investigate the account-takeover history before interpreting a familiar login as evidence of a valid purchase. Preserve security events through the authorized workflow and give the customer a secure way to regain access.

Contact the Customer Without Delaying the Response

A factual message can resolve confusion: identify the order, purchase date, recognizable business name, and the relevant delivery or service details. Ask what part of the purchase remains unresolved. Avoid threats, accusations, or promises that the bank will decide in your favor.

Keep the formal case moving while support communicates. For Stripe, the withdrawal instructions make clear that a customer’s withdrawal request does not replace evidence submission or guarantee a win. Follow the case deadline even when the customer says they contacted their bank.

Coordinate any proposed credit with the case owner. The double-refund guide helps prevent two teams from reimbursing the same amount through separate routes. Record a promised resolution separately from a completed financial action.

Submit a Factual Response and Record the Outcome

State the allegation, explain the relevant sequence, and attach evidence that addresses it. Use concise captions for screenshots and identify which order or item each document concerns. Do not ask the reviewer to infer the relationship between several disconnected records.

Check the processor’s current submission format and deadline. A chargeback response letter can provide structure, but the contents must reflect the actual case. If the records do not support a challenge, use the appropriate acceptance or resolution process and capture the reason internally.

After a decision, reconcile the disputed principal and associated fees. A favorable outcome does not establish the customer’s motive, and it does not necessarily return every fee. Use the dispute-fee reconciliation workflow to distinguish the case result from the money received.

Reduce Repeat Disputes Without Penalizing Good Customers

Review recurring patterns in unrecognized payments, refund delays, missing deliveries, and cancellation handling. Improve the process that creates the misunderstanding before adding friction to every purchase. Give support clear access to payment status and a defined escalation route.
