To dispute a chargeback as a merchant, you submit a response with evidence through your payment processor before its deadline. The issuing bank, not your processor, then decides who keeps the money.

The steps are similar everywhere, but each platform has its own screen, deadline and file rules. This guide shows how to dispute a chargeback as a merchant, and how to fight a chargeback, on:

Every step below comes from each platform's own help center, checked in October 2026.

The Chargeback Dispute Process Every Platform Follows

Whatever tool you use to manage disputes, the chargeback dispute process has the same six steps.

The dispute and chargeback process only looks different on screen. For the full lifecycle with every participant, see our chargeback process guide.

1
You get a notice
Your processor emails you and shows the case in its dashboard, with the reason code and due date.
2
Funds are debited
The disputed amount is usually taken from your balance, often with a dispute fee.
3
You accept or fight
Accepting ends the case. Fighting means you counter with evidence, a step called representment.
4
You submit evidence
Upload proof that answers the claim before the deadline.
5
The issuer decides
The cardholder's bank reviews your response and rules for you or the cardholder.
6
Escalation if needed
If the issuer rejects your response, the case can move to pre-arbitration and then arbitration.

Deadlines differ by network as well as platform. Our chargeback time limit guide lists both, and the chargeback representment page explains the response step in depth.

How to Dispute a Chargeback on Stripe

  1. Open the Disputes tab in the Stripe Dashboard and select the case.
  2. Review the dispute category and any claim documents from the bank.
  3. Click Counter dispute, or Accept dispute if you will not fight it.
  4. Answer the first form page: why the dispute is wrong and what you sold.
  5. Upload one file per evidence type. Keep the total under 4.5 MB, and Mastercard evidence under 19 pages.
  6. Tick the box to confirm your response is final, then submit.

Stripe forwards your response to the issuer right away, and a decision can take up to 3 months. Countering adds a dispute countered fee, which Stripe returns if you win. Learn more in our Stripe disputes guide or Stripe's own documentation.

How to Dispute a Chargeback in Shopify Payments

  1. In your Shopify admin, go to Orders and open the disputed order.
  2. Click Add evidence in the chargeback banner.
  3. Review the chargeback details and add any extra information.
  4. Upload evidence as PDF, JPEG or PNG. Each file must be 2 MB or less, 4 MB combined, and each PDF under 50 pages.
  5. Click Save, then Submit now when you are done.

If you do not submit early, Shopify sends your saved response on the due date. After that, no more evidence is accepted. See our Shopify chargebacks guide for reason-code tips.

How to Dispute a Chargeback on PayPal

  1. Log in to PayPal and open the Resolution Center.
  2. Open the chargeback case and click the Response Required tab.
  3. Upload transaction records, such as proof of shipment and tracking numbers.
  4. Add signed delivery confirmation for high-value items.
  5. Submit within 10 days.

PayPal's chargeback specialists then build the case for the card issuer. PayPal says this typically takes 30 days, and the issuer can take up to 75 days to decide. Our PayPal disputes guide explains how chargebacks differ from PayPal's own buyer disputes.

How to Dispute a Chargeback in Adyen

  1. Select your merchant account in the Adyen Customer Area.
  2. Go to Risk & disputes, then Disputes.
  3. Open the case from the Chargebacks, Requests for Information or Notifications of Fraud tab.
  4. Click Handle chargeback and upload your defense documents as PDF, JPG or TIFF.
  5. Check that the status changes to Pending.

For Visa, Adyen gives you 9 or 18 days to upload defense documents. The 9-day window applies to locally processed US and Canada payments disputed from 21 July 2025. If the issuer rejects your defense, it can file pre-arbitration within about 30 days. See Adyen's dispute documentation for other schemes.

How to Dispute a Chargeback on Square

  1. Sign in to Square Dashboard and go to Orders & payments, then Disputes.
  2. Select the dispute to open the information request form.
  3. Choose to challenge the dispute, or return the funds.
  4. Attach the supporting documents the form asks for.
  5. Submit within 7 days of the first notification email.

Square then sends your case to the bank. The bank can take up to 90 days from the start of the dispute to decide, and Square emails you the result. Our guide to Square chargeback protection covers what Square does and does not cover.

What to Upload, Whatever the Platform

Strong compelling evidence answers the exact claim. Gather these before you open the form:

  • Order record and invoice with the same order ID.
  • Proof of shipment and delivery, with a signature for high-value items.
  • Customer emails, chat logs and support tickets.
  • Device, IP and login data for fraud claims.
  • Your refund policy and terms, with proof the customer accepted them.

File size and page limits trip up many merchants. Our guide to evidence packet formats and file limits covers them by processor. For a cover letter, use our chargeback response letter template.

Why Chargebacks Happen and What They Cost

A chargeback occurs when a customer disputes a transaction and their bank reverses the payment. For a refresher, see what is a chargeback, or Mastercard's chargeback explainer.

Processors also charge a fee on each case, often $15 to $100 depending on the processor. That comes on top of the lost sale. Our chargeback fees guide breaks fees down by provider.

The most common causes are:

  • Fraud. This covers true fraud, where a stolen card is used, and friendly fraud, where the cardholder disputes a purchase they made. According to our State of Chargebacks Report 2024, friendly fraud accounts for 8 out of 10 chargebacks.
  • Customer disputes. An unhappy customer may go to the bank instead of to you. As Ariel Chen, CEO of Chargeflow, puts it, it is better to invest in refunds, not chargebacks.

Mastercard also explains how merchants can dispute credit card chargebacks from the network side.

Buenas prácticas para reducir Contracargos

The cheapest chargeback is the one that never happens. Reducing chargebacks protects your ratio and saves fees. These habits reduce chargebacks before you ever need to fight one:

Políticas de devolución claras

Post a simple return policy where customers can see it. When returns are easy, customers ask you for a refund instead of their bank.

Descripciones precisas de los productos

List size, color, material and function, with clear photos. Surprises on delivery lead to "not as described" claims.

Atención al cliente proactiva

Answer questions fast and make it easy to reach you. Live chat helps settle problems before they turn into disputes.

Herramientas de detección de fraudes

Fraud tools are central to reducing chargebacks. Use CVV checks and 3D Secure at checkout. Chargeflow Prevent scans orders after checkout and before fulfillment, so you can stop risky orders before they ship.

Aprovecha las alertas para prevención Contracargos

Chargeback alerts tell you when a customer starts a dispute, so you can refund before it becomes a chargeback. Prevent disputes before they occur with Chargeflow Alerts, at $29 per prevented chargeback.

Cómo proteger tu negocio con herramientas de gestión de devoluciones

Chargeback management tools handle the dispute chargeback process across every platform above. Good chargeback management solutions help you manage chargebacks from one place, instead of five dashboards. Manual chargeback management works at low volume, but it breaks as you grow. Chargeflow can automate the full job. If you need chargeback help, automation covers the work end to end:

  • Time efficiency: evidence collection and submission run without manual work.
  • Improved win rates: each response is built for its reason code and sent before the deadline.
  • Data-driven insights: spot patterns by product, customer or reason code.
  • Fraud prevention: pair automation with alerts and post-purchase screening.

If a case is lost anyway, read what happens if you lose a chargeback and when pre-arbitration is worth it. For strategy across all of this, see our handbook for winning chargeback disputes.

Preguntas frecuentes

How do I dispute a chargeback as a merchant?

To dispute a chargeback as a merchant, open the case in your payment processor's dashboard, choose to counter it, upload evidence that answers the claim, and submit before the due date. The card issuer reviews your response and decides the outcome.

¿De cuánto tiempo disponen los comerciantes para responder a una devolución?

Merchants usually have 7 to 21 days to respond to a chargeback on Stripe and Shopify Payments, 10 days on PayPal, and 7 days on Square. The exact date shows on each case. Missing it means you lose automatically.

How do you fight a chargeback and win?

To fight a chargeback and win, match your evidence to the reason code, keep files readable and within size limits, and include a short summary of your argument. Fight cases where the order value justifies the work and your proof is strong.

Can I fight a chargeback after accepting it?

No. On Stripe, accepting a dispute tells the issuer you will not contest it, and the case closes. Decide before you click accept.

How long does a chargeback dispute take?

A chargeback dispute can take one to three months after you respond. Stripe says decisions can take up to 3 months, PayPal says issuers can take up to 75 days, and Square says banks can take up to 90 days.

Domina el proceso de devoluciones para proteger tu negocio

Good chargeback management starts with process. Know where your platform puts the respond button, note the due date the day a case arrives, and send one complete packet.

Pair that with clear policies, good support and alerts, and you will fight fewer chargebacks and win more of the ones you do fight. That is chargeback management that pays for itself, and it is how merchants fight chargebacks without adding staff.
