Resumo:
- Representment challenges a card dispute with evidence submitted through the processor or acquirer.
- Match each record to the allegation and applicable reason-code requirements.
- Follow the case deadline and review attachments before final submission.
- Issuer review, further escalation, and monitoring treatment are separate parts of the process.
Chargeback representment is the process of challenging a card dispute by submitting evidence through a payment processor or acquirer. The merchant explains why the disputed payment is valid, and the issuer reviews the response under the applicable card-network rules.
Representment is one stage of the dispute process. It does not guarantee recovery, and a successful response does not necessarily remove the dispute from monitoring metrics. Start with the chargeback basics if you need an overview.
Who does what during representment?
| Participant | Role |
|---|---|
| Lojista | Reviews the allegation, decides whether to challenge it, and supplies relevant evidence. |
| Processor or acquirer | Communicates the case requirements and passes the response through the dispute process. |
| Card issuer | Reviews the response and makes the issuer-stage decision. |
| Cartão Rede | Sets the applicable rules and may decide a case that reaches network arbitration. |
When is a chargeback worth challenging?
Challenge a dispute when the facts support your position and the available evidence addresses the reason given. Accepting a valid dispute can be appropriate when fulfillment failed, a refund was due, or the payment was unauthorized and no applicable defense exists.
Consider the disputed amount, evidence quality, staff time, applicable fees, and whether further stages create additional costs. Avoid using an advertised win rate as a substitute for evaluating the individual case. Review repeated disputes for product, billing, or fulfillment improvements.
What evidence should a representment include?
| Allegation | Relevant records | Question to answer |
|---|---|---|
| Mercadorias não recebidas | Carrier delivery records, destination details, and order references. | How do the records establish fulfillment of this order? |
| Digital service not received | Provisioning, access, or usage records tied to the purchase. | What was delivered or made available, to whom, and when? |
| Canceled recurring payment | Cancellation timeline, subscription terms, billing date, and notices. | Was this charge permitted under the agreed terms and applicable rules? |
| Crédito não processado | Refund record, date, amount, and transaction reference. | Was the promised credit issued for this transaction? |
| Pagamento não autorizado | Relevant authentication and transaction records allowed for the dispute category. | What evidence meets the applicable authorization or fraud-defense requirements? |
The categories above are preparation prompts, not a universal list of sufficient evidence. Read the specific reason code and processor instructions. Stripe’s evidence best practices recommend concise, relevant submissions with readable supporting records. See our compelling evidence guide for more on organizing a response.
How to prepare a representment response
- Confirm the case. Match the dispute ID, transaction, amount, currency, and reason.
- Record the processor deadline. Assign an owner and allow time for review.
- Investigate the allegation. Compare the customer’s claim with order, fulfillment, billing, and support records.
- Write a short explanation. State the position and connect each important fact to a supporting record.
- Review the evidence. Check dates, identifiers, legibility, relevance, and submission requirements.
- Submit and monitor. Confirm receipt and track the decision or further requests.
A practical response structure is: transaction reference, disputed allegation, factual timeline, explanation, and labeled supporting documents. Describe what the evidence demonstrates. Avoid unsupported accusations about the cardholder.
What is the representment deadline?
Use the deadline in the processor’s case notice. It can be earlier than a network-level deadline because the processor needs time to handle the response. Stripe’s dispute-response documentation describes response windows typically ranging from 7 to 21 days, depending on the network; that range is an example, not a deadline for every merchant.
The buyer’s filing window, the merchant’s evidence deadline, and the issuer’s review period are different clocks. Our chargeback time-limit guide explains those distinctions. Do not wait for the customer to reply if a submission deadline is approaching.
Can you change evidence after submitting?
Check the processor’s rules before final submission. Stripe states that a submitted dispute response cannot be edited or supplemented. Build a review step into your workflow so missing attachments or incorrect transaction references are caught first. Other providers may have different interfaces or procedures.
What happens after representment?
The issuer reviews the response and communicates a decision through the payment chain. If the merchant prevails, funds may be returned according to the processor’s process. If the dispute continues, further stages depend on the network, dispute category, and acquirer support.
Pre-arbitration and arbitration are additional escalation stages, not automatic next steps for every case. Ask the processor about eligibility, evidence requirements, deadlines, and current fees before proceeding. Do not assume a single arbitration price applies across networks or cases.
Make the next response easier
Retain order and payment references in the same operational workflow. Preserve the customer-facing terms in effect at purchase, fulfillment records, cancellation events, and refunds. Use structured records so the response owner can find the evidence relevant to a particular allegation.
Automation can help organize cases and evidence, while case-specific requirements still guide the response. Learn about Chargeflow’s chargeback recovery workflow and its verified Stripe integration. For wallet-related cases, compare PayPal disputes with card representment.
Perguntas frequentes
Is representment the same as arbitration?
No. Representment challenges the dispute with evidence. Arbitration is a later network decision process available in certain escalated cases.
Can a customer message replace a formal response?
Do not assume so. Check the case status and follow the processor’s instructions even if the customer says the complaint is resolved.
Does winning erase the original chargeback?
Not necessarily. Recovery of funds and dispute-monitoring calculations are separate matters. Check the applicable program and processor reporting.
Is there one deadline for every chargeback?
No. Follow the date in the case notice. Filing windows, merchant response deadlines, and later escalation deadlines serve different purposes.
