Resumo:

  • A double refund chargeback means one purchase was paid back twice: once by the merchant’s refund and once by a chargeback.
  • Once a dispute opens, Stripe and Shopify Payments block new refunds, so answer the dispute with proof of the earlier refund.
  • For Visa 13.6, Visa 13.7 and Mastercard 4860 disputes, the strongest evidence is the credit’s amount and processed date.
  • Track dispute fees on their own, since many processors keep them even after a win.

A double refund chargeback happens when a customer gets a refund from the merchant and also wins a chargeback for the same purchase. The money goes back twice. Often the overlap is only temporary or partial, so check the actual payment records before you count a loss.

The best defense is one shared transaction history. Support, finance and dispute teams should all see the original payment, the refund status, the disputed amount and any later adjustment. A second complaint should start a review of that history, not an automatic second refund.

How a Refund and a Chargeback Overlap

A refund is a credit the merchant sends back. A chargeback is a reversal the cardholder’s bank forces through the card network. If you are unsure about the difference, start with our guide to what is a chargeback and our chargeback vs refund comparison.

The two paths run on separate clocks. A refund can take days to appear on a statement. A customer who sees no credit yet may call the bank, and the bank can open a dispute while the refund is still moving. That gap is a common source of double refunds.

Refund and dispute timeline

How one purchase gets refunded twice

1

Dia 0

Customer pays

The original card payment settles to the merchant.

2

Days 1 to 10

Refund is issued but not yet visible

Banks normally take 5 to 10 business days to show a refund, so the customer may still see only the charge.

3

Same window

Customer also calls the bank

Cardholders usually have up to 120 days from the payment to dispute it, so a dispute can start while the refund is still in transit.

4

Dispute opens

Processor debits the merchant

The disputed amount and a dispute fee leave the merchant balance. The merchant has now paid out twice.

5

7 to 21 days

Merchant responds with refund proof

Show the refund amount, date and reference. The issuer then has about 60 to 75 days to decide.

Timing sources: Stripe dispute documentation (120-day window, 7 to 21 day response, 60 to 75 day review) and Shopify Help Center (5 to 10 business days for a refund to post).

Identify the Events Before Calculating the Loss

EventoWhat It EstablishesWhat It Does Not Establish
Refund Approved by SupportThe business agreed to a resolution. That the processor completed the refund.
Refund PendingA refund action exists but remains incomplete. That the customer has received the money.
Refund CompletedThe processor reports a completed refund. That an unrelated dispute has closed.
Dispute DebitA disputed amount was taken through the dispute process. That the debit will remain after final review.
Dispute ReversalA case adjustment returned funds to the merchant. That every fee or separate adjustment was reversed.

Use our credit memo and chargeback guide to tell a billing document apart from a financial event. A credit note or support receipt may explain an adjustment. The payment record shows what was actually processed.

Check Why the Overlap Happened

Common causes include a customer contacting support and the bank at the same time, a delayed refund, or two teams acting without shared records. Deliberate misuse, also called friendly fraud, is possible. But an overlap alone does not prove intent. Keep customer messages neutral while you investigate.

Stripe documents pending refunds, failures and duplicate-reimbursement risks for certain bank debit methods in its refund guidance. Follow the rules for the actual payment method. Cards and bank debits do not behave the same way.

Review system retries too. A timeout can leave your system unsure even when the processor accepted the request. Check for an existing refund before you try another payment change. Ask the integration owner to look into repeated requests and duplicate events.

What Processors Do When You Refund a Disputed Payment

Once a formal dispute opens, Stripe and Shopify Payments stop you from refunding the same payment. The bank has already pulled the funds, so a refund on top would pay the customer twice.

Stripe’s dispute documentation says you can’t issue a refund outside the dispute process while the dispute is open. The Shopify Help Center says the same for Shopify Payments chargebacks.

Processor rules

What happens if you refund a disputed payment

Stripe

Refund is blocked while the dispute is open

Stripe debits the disputed amount plus a dispute fee. You can’t issue a refund outside the dispute process while the dispute is open. Submit evidence instead, even if the customer says they withdrew.

Shopify Pagamentos

Refund only after the chargeback is resolved

Refunds can’t be issued while a chargeback is open. During an inquiry, a full refund stops a chargeback, but a partial refund does not.

PayPal

Proof of refund is a valid response

For card chargebacks on PayPal, you can respond with valid proof of a refund made inside or outside PayPal. The card issuer, not PayPal, makes the final decision.

Sources: Stripe “How disputes work”, Shopify Help Center “Resolving a chargeback or inquiry”, PayPal Help Center “Disputes and Limitations”. Checked October 2026.

PayPal sellers facing a card chargeback can respond with valid proof of a refund, according to PayPal’s help center. Inquiries work differently. On Stripe and Shopify, a full refund during an inquiry can close the case before it becomes a chargeback.

What Visa and Mastercard Rules Say

Card networks treat a refund that was already processed as a valid defense. The reason code tells you which evidence the issuer expects.

Código de motivoO que o titular do cartão alegaResponse When You Already Refunded
Visa 13.6 Credit Not ProcessedA refund or credit was due but never showed up.Send proof of the credit with its amount and the date it was processed.
Visa 13.7 Canceled Merchandise/ServicesThey returned goods or canceled a service and got no credit.Send the refund record. If the claim is valid and no credit was issued, accept.
Mastercard 4860 Credit Not ProcessedThey were owed a refund, including for a duplicate charge, but it never came.Send a transaction record showing the credit was processed.
Visa 12.6 Duplicate ProcessingThe same purchase was charged twice.Show that the second charge was refunded, or that the two charges were separate orders.

Visa’s Dispute Management Guidelines for Visa Merchants (June 2024) give three rules that matter here. First, if a credit was already processed, document its amount and date.

Second, if a refund is due but not yet processed, accept the dispute rather than fight it. Third, deposit credits with your acquirer as fast as possible, ideally the same day you create them.

The same guide covers a less known case. If a cardholder was reimbursed twice because a refund was processed on or before a dispute resolved through Rapid Dispute Resolution, Visa’s compliance process can apply. Your acquirer, not you, starts that case against the issuer. Ask your acquirer about it when you can show both credits.

Use a Single Case Timeline

  • Find the original payment reference, amount, currency and merchant account.
  • List every refund with its reference, amount, creation date and current status.
  • Record the dispute reference, claimed reason, amount and response deadline.
  • Match later debits and credits to the event that produced them.
  • Assign one owner to approve any further adjustment.

Take an example $100 payment. A completed $100 refund and a separate $100 dispute debit create an apparent extra $100 exposure before fees. If the dispute debit is later reversed, the duplication may be resolved. Do not report the temporary debit as a permanent loss after the funds return.

Partial chargebacks and partial refunds need the same care. A $20 refund and a $100 dispute are not simply “two full refunds.” Identify what the complaint is about, what value was already returned and which amount is still at issue.

Stripe’s evidence guidance calls this a “credit issued” response: include the refund amount and date. Stripe notes that in most cases the issuer cancels the dispute and opens a new one for the corrected amount. The dispute recovery guide explains how to separate recovered principal from costs.

Respond Through the Formal Dispute Workflow

Open the processor case and decide whether the facts support accepting or contesting it. A refund-related response should connect the original payment to the completed refund using amounts, dates, currency and references. Explain any difference. Do not attach a receipt without context.

Keep this checklist

First 24 hours after a dispute on a refunded order

1Freeze further refunds, store credit and replacements on the order.
2Pull the payment, refund and dispute references into one timeline.
3Confirm each refund’s status: pending, completed or failed.
4Note the reason code and the response deadline.
5If a refund is completed, prepare a “credit issued” response with amount and date.
6Tell the customer what you see, without promising a bank posting date.

Do not claim a pending refund is completed. If the status conflicts with the customer’s report, investigate and state the verified facts. Use a claim-specific evidence checklist and a concise chargeback letter to organize the explanation.

A customer may agree to withdraw the dispute, but that does not replace your case obligations. Stripe’s withdrawal instructions say evidence is still needed for a favorable outcome. Save the customer’s confirmation and meet the real deadline.

Prevent Two Teams From Issuing Value

Give support a visible dispute flag and the current refund state. Require a check of existing adjustments before anyone issues cash, store credit, a replacement or another refund. Each of these changes the outcome, even when only one shows up in the processor’s refund list.

Set approved action limits and an exception route. A request outside the normal workflow should reach a responsible reviewer, not stall without an owner. The support and payments alignment guide helps define that handoff. Chargeback alerts can also warn you before a dispute becomes a chargeback, which gives you time to refund once instead of twice.

Customer messages should say what actually happened: a request was received, a refund is pending, or the processor reports it as complete. Explain the next step without promising a bank posting date you cannot control. Clear customer service communication cuts down on repeat requests caused by uncertainty.

Close the Financial Loop

After resolution, reconcile the original payment, refund, dispute and any reversal. Track fees separately, because they often do not come back. QuickBooks users can follow our steps for recording chargeback fees and recoveries in QuickBooks Online. Stripe keeps its dispute-received fee for businesses outside Mexico even when you win, while Shopify Payments returns the full amount, fee included, on a win. Our guide to chargeback fees compares processors.

If the records still show an unexplained difference, keep a finance exception open. Do not mark the case as fully reconciled.

Review recurring causes such as stalled refunds, duplicate support actions or disconnected accounts. Use an internal workflow audit to test whether a fix stops the same overlap. Measure unresolved duplicates and time to reconciliation, not just tickets closed.

Got Refunded Twice? What Customers Should Do

If you got refunded twice, the extra money usually came from a refund and chargeback at the same time, or from a duplicate refund. Treat the second credit as money you may need to return.

  • Check your statement for two separate posted credits, not one pending and one posted.
  • If you filed a dispute and the merchant’s refund then arrived, tell your bank so it can update the case.
  • Contact the merchant and agree on how to return the extra amount.
  • Keep the extra money aside until both sides confirm the final balance.

A double payment refund problem is the reverse case. If you were charged twice for one order, ask the merchant to refund the duplicate first. If that fails, your bank can open a duplicate processing dispute.

Perguntas frequentes

Does a Chargeback After a Refund Prove Fraud?

No. A chargeback after a refund can result from timing, misunderstanding or disconnected processes. Compare actual credits and debits before concluding that money was duplicated or that the customer acted deliberately. Repeated, deliberate claims are covered in our guide to refund abuse.

Should I Issue Another Refund When the Customer Files a Dispute?

No, check the existing refund and processor case first. Processors such as Stripe and Shopify Payments block refunds on a payment with an open dispute. Follow the dispute workflow and assign one owner to further adjustments. Another refund can create duplicate reimbursement rather than resolve the case.

What Evidence Helps With a Double Refund Chargeback?

Evidence for a double refund chargeback should connect the original payment to the refund through references, amounts, currency, dates and verified status. Include a concise timeline and address the actual claim. A support approval alone does not prove the refund was completed.

What Happens If You Get a Double Refund?

If you get a double refund, the merchant or your bank may ask for the extra amount back once they reconcile the payment. The merchant can show the issuer its refund record, and card networks have processes to correct a cardholder who was reimbursed twice. Contact the merchant early to settle it.

Is It Illegal to Keep a Double Refund?

Whether it is illegal to keep a double refund depends on where you live, and this is not legal advice. Money credited by mistake usually still belongs to the merchant, and it can be recovered through the merchant, the bank or the card dispute process. The safe step is to report the extra credit and return it.

Can I Refund a Stripe Chargeback?

No, you cannot refund a Stripe chargeback while the dispute is open. Stripe has already debited the disputed amount, and it does not allow a refund outside the dispute process. Accept the dispute or submit evidence, including proof of any earlier refund.

Can I Dispute a Charge If They Charged Me Twice?

Yes, you can dispute a charge if a merchant charged you twice for the same purchase. Card networks have duplicate processing reason codes, such as Visa 12.6, for this case. Ask the merchant for a refund first, because a refund is usually faster than a dispute.
