Beauty Box Chargebacks: Missing Items, Substitutions and Partial Refunds

Resumo:

  • Missing-box and missing-item claims usually arrive as Visa 13.1 or Mastercard 4853, while swapped products tend to come in as Visa 13.3.
  • A carrier scan covers the parcel, so pair it with item-level pack scans for each box.
  • Lead with any refund already posted, since Visa expects the issuer to apply that credit before disputing the rest.
  • Track replacements, card refunds and store credit as separate remedies, never under one status.
  • Defend supported contents and resolve confirmed shortfalls through the actual case workflow; an open dispute can block a separate refund.

A beauty box chargeback is a card dispute over a curated cosmetics, skincare or wellness box. Most cases say the box never came, an item was missing, a product was swapped, or a promised refund never posted.

To win, show what the member was promised and what was inside. A delivery scan proves the parcel arrived, not its contents.

This guide covers missing items, substitutions and partial refunds. For the full industry view, start with the health and beauty chargebacks playbook.

Which Reason Code Fits a Beauty Box Chargeback?

Most beauty box disputes land in one of four places. A missing box or item usually comes in as non-receipt. A swapped or smaller product comes in as not as described. A refund that never posted comes in as credit not processed.

The issuer picks the code, not you. Read the code on the actual case before you build the response, because each one needs a different first exhibit.

For non-receipt, Visa gives cardholders 120 days from the expected delivery date, capped at 540 days from processing (per Visa’s dispute FAQ). See the Visa reason code 13.1 guide for the full evidence list and the chargeback time limits by network for other codes.

Visa also says cardholders must first try to resolve a non-receipt claim with the merchant. A fast reply from support is your cheapest defense.

Mastercard’s Chargeback Guide places these cardholder-dispute conditions under 4853. Some processors still display legacy labels such as 4855 for goods not provided or 4841 for canceled recurring transactions. The Mastercard chargeback reason codes list explains the mapping, and the Mastercard chargeback time limits page covers deadlines.

Renewal and cancel disputes are a different case. Use the supplement subscription chargeback guide for Visa 13.2 and Mastercard 4853, including the 4841 label some processors retain.

What Did This Member Actually Buy?

Start with the payment, not the box. Match the case to the charge, order, member and edition. Then check what the payment bought: one box, several prepaid boxes, an add-on or a mixed order.

Keep the disputed amount and currency in view. A member’s annual plan balance is not the same thing as the disputed payment.

Next, read the claim closely. “Something was missing” could mean the whole parcel, one item, a separate add-on or a promised replacement. Each one is a different case.

One edition needs four linked records
Build these before you write a word of the response.
Promised assortment
Edition, offer at purchase, guaranteed items and any “may vary” terms.
Member choices
Picked shades or variants, add-ons and any change the member accepted.
Supplied contents
Item-linked packing, split shipments and exception logs.
Completed remedies
Replacement, card refund or store credit, each with its own reference.
Original Chargeflow framework. Never present advertised retail value as the amount the member paid.

A “products may vary” line needs context. Was the item guaranteed somewhere else? Did the order confirmation name it? Did the member accept a swap, or did support just announce one after the charge?

Keep the retail value and the price paid apart. A box might list $180 of products and sell for $60. Neither number sets the refund for one missing item on its own. Use the order, the terms and the actual remedy, and label any split you make.

For prepaid plans, keep the schedule and edition split your system actually holds. Do not invent a per-box price after the fact. If the records do not support a clean split, write that down and ask finance and your processor.

How Do You Prove an Item Was in the Box?

Pair the delivery scan with item-level records. A carrier scan shows the parcel reached the address. It usually does not show the contents, the condition or the shade the member chose. That is why the delivery confirmation is only one exhibit, not the whole case.

Scroll horizontally to compare all columns.

QuestionUseful recordDo not claim
Which assortment was promised?Edition and member-choice record with the offer shown at the timeToday’s marketing image applies to every older box
Which items were packed?Order-linked item scans and packing exception recordsA batch list proves one parcel’s contents
Did an add-on ship on its own?Separate fulfillment and tracking tied to that lineDelivery of the base box proves delivery of the add-on
Was a swap agreed?Original promise, notice and member acceptanceA notice alone proves agreement to every change
Was the complaint fixed?Replacement fulfillment or completed refund referenceA support promise proves a delivered item or posted credit

For multi-package orders, tag every tracking number with the items it covers. Shopify’s fulfillment guidance explains that one order can have several fulfillments. Your case summary should show that link even when the order page shows one status.

If a warehouse packs your boxes, agree on which scan fields it must keep. The 3PL chargeback evidence handoff checklist lists the fields to request.

Ask the member for a short list of the missing items. That clears up most confusion faster than asking for repeated photos of an empty box. Record what the member said and what your own records can and cannot show.

Worked Example: A $60 Box With a Missing Item

This example is hypothetical. The products, IDs and amounts are invented, and the split is an internal assumption, not a legal value or network rule.

Member M-60 pays $60 for edition B-06. The box promises three products. The merchant’s internal split gives $30 to a serum, $18 to a cleanser and $12 to a mask. The split adds up to the price paid. Retail values are kept elsewhere.

Hypothetical $60 box: where each dollar sits
Internal split used to size a missing-item refund. Bar length is share of the $60 charge.
Serum (delivered)$30
50% of the charge
Cleanser (delivered)$18
30% of the charge
Mask (reported missing, refunded)$12
20% of the charge, card refund completed
Illustration only. No tax, shipping or fees assumed.

The parcel is delivered, but the member says the mask was missing. Support approves a $12 card refund, and the processor confirms it posted. Later, the bank opens a dispute for the full $60 as not received.

$60
Card charge for edition B-06
$12
Card refund already completed
$48
Charge not yet refunded ($60 minus $12)
$60
Amount the bank disputed

Hypothetical figures. The $48 is arithmetic, not a forecast of what you will keep.

Here is the rule that matters. Visa requires the issuer to apply any credit already posted, or to state which transaction the credit went to and why it does not settle the dispute (per Visa’s dispute rule clarifications). So the $12 refund belongs at the top of your response.

Stripe says issuers usually withdraw a full-amount dispute and reopen it for the corrected amount, and tells merchants to include the refund amount, date and dashboard proof (per Stripe support). Then fight the remaining $48 with delivery and item-level proof for the serum and cleanser.

If the member had disputed only $12, check whether the posted refund already covers it. If the refund failed, do not call it completed. The partial chargeback guide covers amount-level disputes for all merchants, and receiving a chargeback after a refund explains why the overlap happens.

How Should You Handle Substitutions?

Keep the original offer, the swap, the notice date and the member’s reply. Then list the plain differences: size, quantity, product type or a picked shade. An internal “equal value” tag does not prove the swap met the original promise.

If the member accepted a change, save that message and what it covered. Saying yes to a new shade is not saying yes to a smaller item or a later ship date.

If the swap was not agreed, look at the right fix instead. Never create a choice record after the fact or replace the old confirmation with a new image. A good response explains the order honestly, including a merchant error when there was one.

When the dispute is about one product’s quality or claims, not the box mix, use the skincare product claim dispute guide. The item not as described chargeback guide covers the general 13.3 and 4853 response.

How Do You Reconcile Replacements, Refunds and Credits?

Use a remedy ledger with one row per event. Track the case, item, original charge, action, amount, approval time, completion time, reference and status. Never add a replacement’s retail value to a cash refund and call the total recovered revenue.

Four remedies that should never share one status
Each one moves something different, so each needs its own record.
Substituição
A new shipment. Track which item went out and whether it arrived.
Card refund
Money back to the card. Track the charge, amount, status and processor reference.
Store credit
A different remedy. Record the terms shown and the member’s acceptance.
Open dispute
A separate case and a possible debit. Check it before you send another credit.
Suggested finance and CX control. A replacement or store credit is not a completed card refund.

Check the processor before you refund during an open dispute. An alert, a past credit or a closed case may have already moved the money. The double-refund chargeback guide shows how to avoid paying twice.

Shopify’s refund guidance covers full and partial refunds and orders with more than one transaction. Keep the split and result the platform shows. Do not assume every credit applies to the charge now in dispute.

Should You Fight or Accept a Beauty Box Chargeback?

Fight when your records prove what was packed and what was refunded. Accept when they do not. A box case can contain an amount you owe and an amount you can defend, but the available actions depend on the processor and case stage. The chargeback vs refund guide covers the cost side of that call.

Scroll horizontally to compare all columns.

Same member reports missing items on many boxesFight with history, then review the accountA pattern can point to refund abuse

Check the case stage before sending money. Stripe’s formal-dispute workflow blocks refunds outside the dispute process while the case is open. Accept or challenge through the actual provider; do not assume partial acceptance is available. Match earlier credits first so the same amount is not reimbursed twice.

A repeat pattern is not proof on its own. Some members who claim missing items again and again are testing your policy. Read the warning signs in the refund abuse guide and explore friendly fraud prevention before you tag an account.

What Goes in a Beauty Box Evidence Packet?

Lead with the claim and answer it in order. Each exhibit should prove one fact, and the disputed amount should stay visible from start to finish. For code-by-code tips, see how to tailor chargeback evidence to each reason code.

Build the packet in this order
Six steps that work for any beauty box claim.

Item scans, split shipments and full-address delivery proof.
4
Show the contact
Support messages, swap notices and any acceptance.
5
Show every remedy
Refunds, replacements and credits with references and status.
6
State the amount you contest
Subtract posted credits and say so plainly.
Use the processor’s format and the deadline on the actual case.

Do not expect a reviewer to open a live page or a shared drive. Put readable records inside the case. Date the old offers, and label any current screenshot as current. Keep a copy of what you filed so support and finance see the same story.

How Do You Prevent Repeat Box Disputes?

Give support the same edition and choice records the warehouse uses. A member should never hear that an item was not promised when the confirmation shows it was. Describe sizes and the mix plainly, and separate surprise items from guaranteed ones.

Test the hard handoffs: an item out of stock, a member changing a choice, an add-on shipping alone, a replacement going out. Many of these issues can be caught with chargeback prevention before fulfillment instead of after a dispute. Apps such as Recharge and Skio hold the plan and order history you need, so make sure support can read it.

Track missing-item complaints per edition, item-scan coverage and agreed versus unagreed swaps. Most disputes count toward Visa’s VAMP ratio, even the ones you win. The excessive-merchant test requires both at least 1.5% and at least 1,500 counted monthly fraud and dispute events in the US, Canada, Europe, Asia Pacific and Latin America/Caribbean. CEMEA requires at least 2.2%, at least 150 events and at least USD 75,000 in fraud and dispute amount. See chargeback thresholds for the full limits.

Visa’s official VAMP fact sheet uses settled card-not-present Visa transactions as the denominator. These merchant thresholds apply when the acquirer is not already Above Standard or Excessive. The fact sheet separately notes that programs for Brazil and Chile will be announced later; confirm current country and account treatment with your acquirer. Qualifying pre-dispute resolutions and CE3.0-qualified TC40 fraud are excluded subject to data-extract timing.

Chargeback alerts can stop some of these disputes before they post, when a quick refund for one item makes more sense than a fight. For the wider recurring-billing picture, see subscription chargebacks.

Mastercard projects global chargeback costs will rise from $36.9 billion in 2026 to $46.1 billion in 2029 (per Mastercard research by Datos Insights, updated June 2026), so small box errors add up.

Frequently Asked Questions About Beauty Box Chargebacks

Can a customer dispute only part of a beauty box payment?

Yes. A cardholder can dispute part of a beauty box payment, such as the value of one missing item, instead of the full charge. The merchant should respond to the disputed amount only, show any refund already posted, and prove delivery of the items still in question.

What should a merchant do when an item is missing from a beauty box?

When a beauty box arrives with an item missing, check the item-level pack scan and the member’s report, then record the appropriate remedy. Before sending a card refund, check prior credits and any open dispute; use the provider’s permitted workflow. Track a replacement separately with its own reference. Fast, documented fixes stop many item not received chargebacks before they reach the bank.

Who is responsible for a lost beauty box, the buyer or the seller?

For card disputes, the seller usually carries the risk of a lost beauty box until it is delivered to the address on the order. Under Visa 13.1, the merchant needs proof of delivery to the full address to defend the charge. After a confirmed delivery, the case turns on what was inside the box.

How serious is a beauty box chargeback for a merchant?

A beauty box chargeback can remove the disputed funds and take staff time. Whether a fee is returned after a win depends on the processor. For example, Shopify Payments returns the chargeback fee on a win; check your own provider’s pricing and the actual settlement. Disputes also count toward card network ratios such as Visa VAMP, and too many can lead to fines or a lost processing account. Read what is a chargeback for the basics.
