Chargeback recovery is how you try to win back funds lost to a card dispute. You send proof that answers the claim, and the card issuer rules on the case. Check the claim, due date and costs before you act. A win can return funds, but it does not assure future wins.

¿Qué es la recuperación de devoluciones?

For merchants, recovery usually means challenging a chargeback through chargeback representment. You send records that answer the claim. A short rebuttal letter explains those records. The goal is to recover funds that the dispute took from your account.

This guide covers card disputes. Retailer deductions and debt collection use other routes. If you bought something and want to dispute the charge, speak to your card issuer. The steps below are for the business that must answer the claim.

Keep two goals apart: win back lost funds and stop new disputes. A refund or alert may help before a formal chargeback. Once a case is filed, use the dispute process. Shopify’s chargeback and inquiry guide explains which stage requests facts and which takes funds from your account.

Should You Accept or Fight a Chargeback?

Check the facts before you choose. A charge may be wrong, or an order may not have arrived. The claim may also conflict with your records. Do not call every claim friendly fraud or assume that a receipt answers every complaint.

Your First Decision

Check the Claim, Proof and Cost

Accept a Valid Claim

Your records show the charge was wrong or the service failed. Use your payment provider’s case process to resolve it.

Challenge With Proof

The case allows a response, and your records support it. Gather proof and send it before the deadline.

Investigate a Gap

The facts conflict or a refund is unclear. Give one person the task of checking them before time runs out.

If proof is missing, look for it. Do not make up a record or let the deadline pass.

Check whether you paid a full or partial refund. Note its amount, date and reference. Follow your provider’s instructions for an open dispute. Do not send another payment just to make the case disappear.

How Does the Chargeback Recovery Process Work?

1. Identify the Case and Its Deadline

Log the case ID, charge, amount, currency and claim. Put one person in charge of the response. Save the due date and time zone. Set an earlier date for your team to check the files.

Stripe’s response guidance describes a usual window of 7–21 days, depending on the card network. That is a Stripe example, not a universal deadline. Use the cutoff on your actual case. The customer’s window to file a claim is a different clock.

Check the stage too. An inquiry or retrieval request asks for transaction information. If it later becomes a chargeback, confirm the new response requirements. Do not assume that an earlier reply closes the later case.

2. Match the Evidence to the Complaint

Read the reason code and the buyer’s claim. Choose records that answer it. The list below follows Stripe’s dispute-category guidance; check the rules in your own case.

  • Payment not authorized: Check who paid, how the payment was verified and any past charges that qualify as proof. Delivery alone cannot prove consent.
  • Item or service not received: Match the order to proof it arrived or was used. Show the address, account and dates.
  • Not as described: Check what you promised at the sale against what you sent or did. Include the complaint and any fix.
  • Canceled recurring payment: Show the agreed terms, the request to cancel, when it took effect and the charge.
  • Refund missing: Show when the refund was due and paid. A promise to pay is not a paid refund.

For a course, a login shows use of the account. It does not prove you gave all promised coaching or feedback. The online course chargeback guide includes an offer-to-delivery worksheet and worked examples.

3. Build a Short, Traceable Response

Start with the charge and why you contest the claim. Put events in date order. Label each file and state what it proves. Cut off-topic records and repeated email chains.

Stripe’s evidence best practices call for clear files that address the claim. Use file types your provider accepts. Do not rely on links that require the reviewer to open your dashboard. Check file and page limits in the submission workflow.

Use our guide to respond to a chargeback for the broader workflow. If staff keep losing time between systems, review why manual chargeback recovery fails in ecommerce.

4. Submit and Save the Receipt

Send the response through the channel your provider requires. A saved draft has not been sent. Keep the final files, time sent and receipt with the case.

On Stripe, you get one submission opportunity and cannot add files afterward. Review the full packet first. If the customer says they withdrew the dispute, still follow the provider’s evidence instructions.

5. Reconcile the Decision and Returned Funds

Check the result and the credit to your balance. Log the funds returned and each fee you still paid. Sending a response does not mean you won the funds back.

Stripe’s dispute lifecycle guide says the full process can take 2–3 months. Its platform does not support escalation to arbitration. Other providers may offer different routes. After a loss, ask about the permitted next step, deadline and cost before committing more resources.

Measure Net Recovery, Not Just Win Rate

Track both case counts and cash. A high win rate on a few chosen cases can hide weak results across all claims. State which cases you count. Wait for that group to close before you judge its results.

  • Response coverage: How many cases that could be fought got a response?
  • Contested-case win rate: Cases won divided by the closed cases you fought.
  • Gross dollar recovery: Funds returned divided by the disputed funds in the same case group.
  • Net recovery: Funds returned minus fees you still paid and the cost of handling those cases.

These are proposed ways to report results. State what each rate counts and keep that basis the same. Keep open cases apart from closed ones. Track alerts on their own: a refund that stops a chargeback is not funds won back.

Hypothetical Closed Case

A $200 Win Does Not Mean $200 Kept

Disputed funds returned
$200
Illustrative 25% recovery fee
−$50
Assumed retained processor fee
−$15
Assumed internal handling cost
−$10
Net recovered value
$125

This is a worked example, not a client result or a fee quote. You keep 62.5% of the disputed funds. The sum leaves out the cost to fill the order and taxes. It is not order profit.

Before you fight, weigh the funds you could win against the extra cost to respond. A fee you must pay either way is not a new cost of fighting. If you estimate your chance of a win, use similar closed cases. That estimate can be wrong.

Use a Ledger When a Refund and Dispute Overlap

Imagine a $120 order with a completed $30 refund. The customer then disputes the full $120. Record all three amounts: original payment, completed refund and disputed amount. Explain the earlier credit with its reference. Do not describe $120 as entirely unpaid or issue another $30 without checking the case.

This example uses made-up amounts. Follow your provider’s rules for the response and any final change to the balance. Stripe’s evidence guide covers partial refunds. Keep both sets of records when you work out how much you got back.

Choose Chargeback Recovery Software or a Managed Service

You can handle cases in-house, use software or hire a service. An “automated” tool may still need your help when proof is missing or a response fails to send. Before you sign, read how to choose a chargeback recovery service, with a scorecard for pricing, pilots and win-rate claims.

Choose by Workload and Coverage

Three Ways to Run Recovery

Interno

Your team gathers records, writes responses and submits cases.

Check: Staff cover deadlines, absences and every processor queue.

Software-Assisted

Tools organize evidence and case tasks. Your team may still approve or submit responses.

Check: Which actions happen automatically, and which need a person?

Managed Recovery

A provider handles agreed parts of evidence collection and submission.

Check: Supported connections, exceptions, fees and reporting.

Test each option with one routine dispute and one with a missing record. Ask which cases count toward a claimed win rate. A submission rate tells you how often a response was sent, not how often it won.

Recover Revenue With Chargeflow Automation

Chargeflow Automation gathers case data, builds AI-powered evidence and sends responses through supported connections. Check which of your payment systems and data sources it supports. Keep clear records of what you sent, what you canceled and what you refunded.

As checked on November 4, 2026, Chargeflow’s published Automation pricing is 25% of recovered amounts. The fee applies to disputes won with funds returned and excludes the processor’s dispute fee. Check your agreement for the terms that apply. Alerts and Prevent are separate products with separate pricing.

The TruHeight case study reports $112,617 in disputed revenue recovered. It does not specify the measurement period or a net figure after all costs. Treat it as one merchant’s reported result, not your expected return.

Review Your Recovery Workflow With Chargeflow. Bring a sample case and your processor list to check coverage, evidence gaps and fees.

Preguntas frecuentes

Can You Recover Money From a Chargeback?

You may win back the funds if the case allows a response and your proof supports it. Send that proof before the deadline. The issuer rules on the case. No receipt, contract or scan assures a win on its own.

How Long Does Chargeback Recovery Take?

Your deadline to reply is not the date you get a result. Stripe says the full process often takes 2–3 months. Check the case status and the credit to your balance before you count the funds as returned.

Does Winning Return Every Chargeback Fee?

No. Fee rules vary by provider, location and contract. Check which fees remain after a win. Also account for your recovery service and internal handling costs.

What Is a Good Chargeback Recovery Rate?

No single rate tells you what you will win. Compare similar closed cases by claim type, payment provider and strength of proof. Track how many cases you fought, how many you won and the net funds you kept.

Does Recovery Stop Future Chargebacks?

A win resolves that case; it does not guarantee protection from later claims. Fix the causes you find, such as failed delivery or cancellation errors. Track dispute prevention separately from revenue recovery.
