Resumo:
- Klarna dispute reconciliation ties each dispute to its settlement rows through reversal_reference, never by order total.
- Your hold policy (NONE or ON_DISPUTE_INITIATED) decides whether the chargeback debit posts when a dispute opens or only after a loss.
- A partial loss has no row of its own: subtract the CORRECTION_DISPUTE credit from the original REVERSAL debit.
- Klarna's standard dispute fee is EUR 15 or USD 15 for direct merchants, and it doubles above a 1.5% dispute rate for three straight months.
- Merchants get up to 21 days for evidence and 10 days to appeal, and only complete first evidence keeps the appeal open.
Klarna dispute reconciliation is the process of matching each Klarna dispute to the settlement report rows that moved your money: the chargeback debit, any credit you won back, and the dispute fee.
Get it right and your books show the real cost of every case. Get it wrong and a won dispute can look like a loss, or a fee can hide inside a refund.
This guide follows the format in Klarna's settlement report documentation for disputes, which covers merchants with a direct Klarna agreement. If you take Klarna through a payment service provider, use that provider's report and fee terms instead.
The Klarna Dispute Process, Stage by Stage
Every Klarna dispute moves through fixed stages. Each stage has its own deadline and its own effect on your funds.
21 days Maximum time to submit evidence | 30 dias Maximum Klarna evidence review |
10 days Window to appeal a lost decision | 14 days Typical arbitration review |
| Palco | What you can do | Money effect |
|---|---|---|
| INITIATED | Upload evidence (PDF, up to 7 MB per file), suggest a refund amount, or accept the loss. | Klarna holds the disputed amount. How that appears in your report depends on your hold policy. |
| REPRESENTMENT | Nothing. Klarna reviews your evidence and issues a preliminary decision. | A WON decision closes the case and releases the held amount. |
| PRE_ARBITRATION | Accept the preliminary loss or appeal it. | No new money movement until the case closes. |
| ARBITRATION | Nothing. The review is final and binding. | The final outcome decides the last principal and fee rows. |
| CLOSED | Record the outcome and match the rows. | Outcome is WON or LOST. |
Source: Klarna disputes lifecycle. Deadlines vary by dispute reason, so read the expiry date on each case instead of assuming 21 days.
Two rules shape your ledger before any money moves:
- An expired evidence request ends as LOST. So does a dispute below Klarna's small-amount threshold, which is auto-accepted as LOST.
- Klarna only offers an appeal if your first evidence included everything requested. Weak first evidence can cost you the appeal route.
Klarna names its review stage REPRESENTMENT, but this is Klarna's own process, not card-network chargeback representment. To check which route a case is on, see which payment route a BNPL dispute takes.

Check Your Klarna Hold Policy First
Your hold policy decides when the chargeback hits your settlement. Klarna reads it from the dispute configuration and fixes it at the moment the dispute starts.
- NONE: nothing posts when the dispute opens. Money moves only if you lose.
- ON_DISPUTE_INITIATED: the full disputed amount is debited when the dispute opens. Money comes back only for the part you win. Your account must be opted in to this policy.
| Evento | Hold policy NONE | Hold policy ON_DISPUTE_INITIATED |
|---|---|---|
| Dispute opens | No row | REVERSAL debit for the disputed amount |
| You win | No row | CREDIT / CORRECTION_DISPUTE for the won amount |
| Customer wins | REVERSAL debit for the disputed amount | No new principal row (the debit already posted) |
| Partial loss | Not described in Klarna's documentation; confirm against your report | Credit for the won part only; the lost part has no row of its own |
| Disputa taxa | FEE / DISPUTE_FEE debit at close, when a fee applies | FEE / DISPUTE_FEE debit at close, when a fee applies |
| Lost appeal | Extra FEE / DISPUTE_FEE row | Extra FEE / DISPUTE_FEE row |
The partial-loss row is the one that trips most teams. Under ON_DISPUTE_INITIATED, the lost portion never appears as a line. You find it by subtracting the credit from the original debit.
Read Klarna Settlement Report Rows Correctly
The Klarna settlement report uses a small set of row types for disputes. Learn these four and you can explain almost any dispute movement.
| Row (type / detailed_type) | Direction | Totals column | O que isso significa |
|---|---|---|---|
| REVERSAL / REVERSAL | Debit | total_reversal_amount | The chargeback of disputed principal |
| CREDIT / CORRECTION_DISPUTE | Crédito | total_credit_amount | A won amount returned, or a Klarna correction of a wrong chargeback |
| FEE / DISPUTE_FEE | Debit | total_fee_amount | The dispute fee, or an appeal fee after a lost appeal |
| FEE_REFUND / DISPUTE_FEE_REFUND | Crédito | total_fee_refund_amount | A dispute or appeal fee Klarna charged in error and refunded |
Five format details decide whether your matching works:
- Amounts are unsigned. The row type tells you the direction. Add your own signed column and keep the raw value untouched.
- Join on reversal_reference. It links every row of one dispute. Klarna says not to key on order_id or capture_id.
- capture_id can be empty. It is blank for order-level disputes and filled for capture-level disputes.
- Purchase fees stay charged. On a won dispute, the original purchase fees and related tax are not refunded.
- Payouts never go below zero. If chargebacks exceed a day's sales, the payout is floored at zero. Klarna recovers the shortfall from a later payout through total_repay_amount.
A CORRECTION_DISPUTE credit does not prove you won. Klarna uses the same label for corrections of its own errors. Check dispute_outcome in the Klarna Disputes API before you book any credit as recovered revenue.
Build a Case-Level Reconciliation Index
One row per dispute keeps finance and dispute operations on the same record. Never match on an order total or an equal amount alone. One order can hold several captures, and two disputes can share the same amount.
| Campo | Where it comes from | Why you need it |
|---|---|---|
| reversal_reference | Settlement report rows | Joins every row of one dispute |
| Account and currency | Merchant ID and report | Stops cross-account or cross-currency matches |
| Order and capture | Order record; capture_id if set | Shows whether the dispute is order-level or capture-level |
| Hold policy | Dispute configuration | Tells you which rows to expect and when |
| Raw row type and amount | Report, unchanged | Keeps an audit trail of what Klarna sent |
| Signed principal effect | Your worksheet | Separates money out from money returned |
| dispute_outcome | Klarna Disputes API | Tells a won credit apart from a correction |
| Open exception | Analyst note | Flags any case that does not balance yet |
Keep event dates as Klarna reports them. A debit in March and a credit in May belong to one case, but they land in two different cash periods. Finance often needs both views.

Worked Examples: Full Win, Full Loss and Partial Loss
These three cases are hypothetical. All use the ON_DISPUTE_INITIATED hold policy and show principal only. Fee rows are covered in the next section.
| Case | Debit at opening | Credit at close | Unrecovered principal | Rows to expect |
|---|---|---|---|---|
| K-A: full win | EUR 180 | EUR 180 | EUR 0 | REVERSAL, then CREDIT / CORRECTION_DISPUTE |
| K-B: full loss | EUR 140 | Nenhum | EUR 140 | REVERSAL, then FEE / DISPUTE_FEE |
| K-C: partial loss | EUR 250 | EUR 90 | EUR 160 | REVERSAL, CREDIT for the won part, and any fee row |
Case K-C is where reports and dashboards drift apart. Here is the math:
EUR 250 Debited when the dispute opened | EUR 90 Credited for the won part |
EUR 160 Lost part, shown in no row | 36% Share of principal returned |
The EUR 160 loss is a calculated figure, not a report line. Store the full disputed amount, the credit and the difference as separate fields. If you cannot prove the EUR 90 credit belongs to K-C through reversal_reference, leave the case open.
For K-B, do not add a second EUR 140 debit to make the closing report look like a loss. The money already left at opening. Do not invent a credit because a status field says won, either.
Track Klarna Dispute Fees Separately
Klarna charges a dispute fee when a dispute is decided against you. Merchants with a direct Klarna agreement pay it to Klarna. If your PSP integrates Klarna, Klarna does not bill you directly, but your PSP may pass the fee on. Rates come from Klarna's dispute fee page.
| Market | Standard fee | Excessive fee | Appeal fee (from March 1, 2027) |
|---|---|---|---|
| Eurozone markets (as listed) | EUR 15 | EUR 30 | EUR 50 |
| Estados Unidos | USD 15 | USD 30 | USD 50 |
| Reino Unido | GBP 10 | GBP 20 | GBP 40 |
| Canadá | CAD 20 | CAD 40 | CAD 70 |
| Austrália | AUD 25 | AUD 50 | AUD 75 |
The excessive fee doubles your cost. It applies when your dispute rate stays above 1.5% for three months in a row, with more than 100 orders in that period. It drops back once the rate stays below 1.5% for three months. Markets Klarna does not list pay USD 15 and USD 30, or the local equivalent.
Klarna counts this rate per Merchant ID: disputes started in a month divided by captures in the same month. Track it next to your card chargeback ratio, because the two use different formulas. To weigh dispute costs across providers, see our BNPL comparison.
Mark these 2027 changes in your fee mapping now:
- For disputes started on or after March 1, 2027, a lost appeal adds a non-refundable appeal fee.
- For card chargebacks started on or after March 1, 2027, the dispute fee is charged at close whatever the outcome. The exception is an unauthorized purchase dispute where your response meets Klarna's requirements.
Separate Refunds, Fees and Corrections
A purchase refund and a returned dispute amount are different events. If you count both as recovery, you overstate results and may miss a double refund to the customer.
- Refunds: book them from your refund records, not from dispute rows.
- Fees: give each fee its own row and amount. Never copy example fees from documentation into your ledger.
- Corrections: a FEE_REFUND or a correction credit fixes a Klarna error. Do not count it as a dispute win.
For the wider month-end process across all payment methods, see our guide to chargeback reconciliation. If you run Klarna next to card processors, multi-processor chargeback recovery covers how to join records across providers.
Investigate Mismatches With a Fixed Checklist
Start with account, currency and reversal_reference. Then check the hold policy, dates, outcome and row type. Look at raw rows before you change any mapping.
| What you see | What to check next | Shortcut to avoid |
|---|---|---|
| Case closed, expected row missing | Earlier and later reports, plus the hold policy | Creating a fake cash row |
| Credit exists, outcome unclear | dispute_outcome in the Disputes API | Calling every credit a win |
| Two disputes on one order | reversal_reference and capture_id for each | Netting everything at order level |
| Amount differs from the dispute | Partial outcome, refunds and currency | Treating the gap as a fee |
| Payout is zero or lower than expected | total_repay_amount on later payouts | Assuming Klarna missed a payout |
| Status conflicts with money | Raw rows and case history; assign an owner | Editing the status to force a match |
Record the evidence that closed each exception. A reviewer should be able to repeat your finding without asking you. Keep the raw report and your mapping version with the month-end file.
Test Your Mapping Before You Report on It
Run a small set of real, anonymized cases through your worksheet before you trust it. Include a full win, a full loss, a partial loss and a correction if you have one.
- Check that each case keeps its own identity.
- Check that direction and reporting period are right.
- Check that exceptions stay visible instead of netting to zero.
- Add a negative test where two equal amounts belong to different disputes.
Report principal returned apart from fees, refunds and open amounts. Say whether a metric covers a cash month or a closed case group. Never compare recent open disputes with older closed ones as if they were the same.
Close Every Klarna Case in Both Ledgers
Dispute operations and finance answer different questions about the same case. Operations wins or loses the claim. Finance proves what the claim did to your cash. A submitted response is not a reconciliation event on its own.
Strong first evidence matters twice: it wins cases and keeps your appeal route open. Some Klarna disputes are friendly fraud, where the customer received the order. Delivery proof, return records and customer messages win those cases. See how this fits the wider pattern of BNPL fraud.
Use dispute webhooks to log each status change with its case reference. Then your ledger and your case tool update from the same event.
Chargeflow's Klarna integration connects your Klarna disputes to the same automated workflow as your card disputes. Chargeflow Automation gathers order, shipping and customer data, then submits a full first response before the deadline. You pay only for disputes you win, backed by a 4X ROI guarantee.

Klarna Dispute Reconciliation FAQ
How long does Klarna take to resolve disputes?
Klarna gives merchants up to 21 days to submit evidence, depending on the dispute reason. Klarna then takes up to 30 days to review it. After a lost decision, the merchant has 10 days to appeal, and arbitration takes about 14 days. A fully contested Klarna dispute can stay open for more than two months.
What does a Klarna dispute cost a merchant?
Klarna charges direct-agreement merchants a dispute fee when a dispute goes against them, such as EUR 15 or USD 15 at the standard rate. The fee doubles if the dispute rate stays above 1.5% for three months in a row. A PSP may pass the fee on. Purchase fees are not refunded, even on a won dispute.
How do Klarna disputes show up in the settlement report?
In the Klarna settlement report, a dispute appears as a REVERSAL debit for the chargeback, a CREDIT with detailed type CORRECTION_DISPUTE for any amount won back, and a FEE with detailed type DISPUTE_FEE for the dispute fee. All rows of one dispute share the same reversal_reference. Amounts are unsigned, so the row type sets the direction.
Does a CORRECTION_DISPUTE credit mean the merchant won?
No. Klarna uses CORRECTION_DISPUTE both for won disputes and for corrections of chargebacks Klarna made in error. Merchants should check the dispute_outcome field in the Klarna Disputes API before booking the credit as a dispute win.
Can a merchant appeal a lost Klarna dispute?
Yes, but only if Klarna offers an appeal. Klarna allows it only when the merchant's first evidence included all the information requested. The merchant has 10 days in the pre-arbitration stage to appeal. For disputes started on or after March 1, 2027, a lost appeal adds a non-refundable appeal fee.
