A chargeback works by moving a disputed card payment into the card issuer’s review process. The merchant may have an opportunity to respond with evidence, and the outcome determines whether the disputed funds are returned to the merchant or remain with the cardholder.

Understand the Parties and Their Roles

Follow a Simple Example

Consider a hypothetical customer who disputes an order as not received. The issuer opens a case, and the merchant’s provider communicates the disputed payment and response deadline. The merchant checks the promised delivery date, shipment history, address, and customer messages.

If the goods were never delivered and the complaint is valid, accepting the dispute may be appropriate. If relevant records support a challenge, the merchant submits them through the provider. Understand When Money Moves

A chargeback can affect your balance before the evidence review finishes. For example, Shopify’s chargeback overview distinguishes an inquiry, which does not immediately remove funds, from a chargeback, which does. A preliminary credit or balance adjustment is not the same as the final outcome.

Check your provider’s ledger for the disputed amount, fees, refunds, and later adjustments. Do not describe all dispute funds as being held in escrow. Do not assume every fee is refunded after a win.

Use chargebacks versus refunds to distinguish the bank dispute from a merchant-issued credit. If the case is open, follow its workflow before issuing any additional payment.

Separate the Different Clocks

Chargebacks involve more than one timeline:

  • The period in which a cardholder may raise the claim.
  • The merchant’s deadline to submit a response.
  • The time allowed for the issuer to review that response.
  • Any later deadline for a permitted escalation.

These periods can depend on the network, reason, provider, and delivery or service date. The merchant should act on the deadline in the actual case. A broad filing-window estimate is not a merchant response deadline.

Know What Evidence Can Establish

Neither an IP match nor a screenshot is an automatic win. Authentication and qualifying evidence programs have specific conditions. Check the transaction’s actual eligibility instead of treating a short list of data points as a universal liability shift.

What Happens After the Outcome?

Review whether funds were recovered and what costs remain. A loss alone does not prove deliberate misuse. Investigate recurring problems before changing customer restrictions or response policies.
