En resumen:

  • Compare the package sold with sessions, feedback and other work actually delivered.
  • Attendance supports a session. It does not prove that you met every package promise.
  • Check booking changes and access instructions before calling a missed session a client no-show.
  • Track cancellation, rescheduling, service credit and paid refunds as separate events.
  • Use relevant service records while keeping unrelated private coaching details out of the case.

To answer coaching chargebacks, compare the package you sold with the work you delivered. Address the actual claim about sessions, feedback, billing or a refund. A signed contract or meeting log can prove a limited fact. Neither proves that you met every promise.

Check Each Promised Part of the Package

Use this guide for sessions, feedback and milestones. It builds on the online course chargeback framework. The examples are hypothetical. They do not show measured Chargeflow customer results or imply a native connection to a coaching platform.

Preserve the Coaching Package as Sold

Save the offer, contract and relevant sales messages tied to the purchase. List session count, length, format and booking window. Add feedback, between-session support, materials and refund or cancellation terms. Keep limits with the promises.

Include promises made in a sales call or direct message. The public page may not show the full offer made to that client. Keep the version they bought, even if a later edit narrows the service.

Separate promised coaching from promised results. Disappointment alone does not prove a service gap, but you must check the claim. Keep any explicit guarantee and its conditions. Do not omit it because it makes the response harder.

Preserve the Whole Coaching Promise

Sessions

Count, length, format, booking window and schedule terms.

Work Between Sessions

Assignments, feedback, milestones and included support.

Commercial Terms

Price, installments or renewal, cancellation and remedy terms.

Specific Representations

Relevant sales messages and any guarantee with its conditions.

Your working checklist. Keep the actual offer, its limits and changes the client accepted.

Connect the Disputed Payment to the Service

Note the charge ID, amount, currency, account, reason and due date. Link it to the package and contract. If an employer or another person paid, record the payer-client link. The client may not be the cardholder.

A fixed package paid in parts differs from an ongoing coaching subscription. Explain the sale with its terms and charges. See course payment-plan chargebacks for the payment distinction.

Keep collected payments, future charges and paid refunds in separate rows. Unpaid installments are outside captured dispute principal. Canceling future sessions does not show what happened to money already collected.

Coaching Chargebacks Need a Delivery Ledger

Use one row per disputed promise. Name the source, due date, actual event and gap. Leave out private session details unless the claim needs them and you may share them. Dates and service records can often show delivery without exposing personal discussions.

Commitment Evidence to investigate Important distinction
Scheduled session Booking, reminders, actual meeting and relevant attendance record A calendar invitation is not a completed session
Rescheduled session Original date, request, accepted alternative and actual occurrence A proposed replacement is not an accepted booking
Individual feedback Submission, feedback record and delivery timestamp Draft feedback is different from feedback delivered
Between-session support Advertised scope, requests and relevant response records Access to a channel is not proof that promised responses occurred
Milestone or deliverable Agreed scope and actual completed work A progress label may not establish the underlying service
Remedy Request, decision and actual payment or service event An approved refund is not completed credit

This is your working sheet, rather than an official provider checklist. Fit it to the package. One session may need a short timeline. A multi-month program may need proof for several services.

Use the Kajabi payment-dispute guidance to check claim types in its payment setup. Read the actual claim before choosing records. Confirm the process for the account used in the sale.

Worked Case: Sessions Delivered, Feedback Missing

Hypothetical example: A $1,200 package includes four sessions and feedback on two assignments. The client attends three sessions. One is rescheduled but has not taken place. Both assignments are submitted, but no delivered feedback is verified. The claim concerns missing feedback and incomplete service.

Hypothetical $1,200 Package: Verify Each Commitment

Three Sessions

Attendance records support these three sessions.

Fourth Session

Rescheduled. No completed session is verified yet.

Two Assignments

Submissions exist. They do not prove that you sent feedback.

Feedback

No delivered feedback is verified in the file. Check that claim.

Hypothetical case. No price per part, refund right or outcome is assumed.

Three attendance records support three sessions. They do not prove a fourth or delivered feedback. Find missing records, check the promised dates and review the actual claim before deciding how to respond.

Do not invent equal prices for sessions and feedback if the sale did not set them. Explain the basis for a later remedy. Do not present a new price split as an original term to downplay missing work.

Gather the original package, session history, reschedule request, assignments and any delivered feedback. Add the claim and completed remedy. Keep gaps and conflicting facts visible. Favorable attendance alone cannot explain missing work.

Worked Case: A Client Misses an Appointment

Hypothetical example: A client misses a session and disputes its $150 charge. Your calendar shows a booking. A later message shows that you changed the meeting link shortly before the start. The client says the original link failed.

Check the notice and access history before calling this a client no-show. Your presence in one meeting room does not prove that the client received the right link. Save the first booking, changed link, message times and attempted fix.

If the agreed session was available and the client did not attend, save proof and the disclosed terms. Still answer the actual claim and check the payment rules. A broad “all bookings are nonrefundable” statement does not replace that review.

Distinguish Dissatisfaction From Missing Promised Service

A claim about poor results differs from a claim about coaching that never took place. Review the offer, including any promised outcome. Compare it with what you supplied. Do not assume every unhappy client is acting fraudulently.

Use the offer-versus-delivery guide for a claim about what you sold. Apply its versioned comparison to coaching promises. Check the client's actual terms and provider rules for the case.

State what you promised, what records prove and what remains open. Keep the tone factual. Do not guess at the client's motives or make claims broader than your proof.

Record Cancellations and Remedies as Actual Events

Save the cancellation request, timing, your reply and any agreed exception. A missed session, canceled package, ended subscription and refund request are separate events.

If you offer a new session, record whether the client accepts and attends it. Name each credit accurately. Future service credit is not money returned to a card. For a refund, keep its original charge link and completed status.

Check the open case and payment history before sending another remedy. Follow the actual provider's process. Give support, the coach and payments one shared record. A promised new session and an approved refund should not lead to conflicting actions.

Build a Focused Coaching Response Packet

Start with the charge, package, claim and finding. Number the exhibits: sold scope, relevant service timeline, messages and completed remedies. Explain internal labels. The reviewer should not need to know your program to follow the case.

Keep source records intact. If you correct a session log, retain the first record and explain the edit. A later review note is not an attendance record made at the time.

Find the payment route used for the sale. It may be a platform product or a separate provider. The course-platform responsibility guide covers that distinction. A platform name alone does not establish native Chargeflow support or merchant-of-record status.

A Coaching Case the Reviewer Can Follow

  1. Identify

Name the charge, package and specific claim.

  2. Comparar

Put the promise beside verified proof of service.

  3. Explain

State the finding, gaps and actual remedy.

  4. Submit and Reconcile

Use the real case route and due date. Match payment events separately.

Your response workflow. Leave out unrelated private coaching details.

Reconcile the Case and Improve Service Records

Match collected funds, paid refunds, case movements and fees to the charge. Keep uncollected installments outside captured principal. A package marked “canceled” in your CRM does not prove a paid refund or case adjustment.

Use Chargeflow's reconciliation guide for the wider finance process. Review service gaps too. Missing feedback records, unaccepted reschedules and vague support promises are problems you can fix.

Track saved offers and verified service timelines. Group claims by missing work, access, billing and refunds. One overall win rate does not show how each service process works.

Evaluate Automation with a Real Package Example

Map the payment provider, booking tool, meeting logs, support and feedback system. Test the links to one package and charge. Leave out needless private details. Name an owner for records you still need people to supply.

Use Chargeflow Automation to assess evidence and response support through supported payment connections. Bring an anonymized service ledger. Confirm processor support, coaching records and fit with the team before you expand the workflow.

Preguntas frecuentes

Can a Coaching Business Contest a Chargeback?

Yes, when verified facts and the applicable process support your response. Link the charge to the package and promised work. Answer the specific claim. Keep gaps and remedy promises visible. Do not treat every unhappy client as an abusive disputant.

Does a Signed Coaching Agreement Prevent Chargebacks?

No. A signed contract does not prevent a case or prove full service. Save its scope and how you showed the terms. Compare it with session, feedback and remedy records. Answer the actual service, refund, billing or payer-consent claim.

Does Session Attendance Prove the Full Coaching Package Was Delivered?

No. Attendance supports a specific session. Check remaining sessions, feedback, support and milestones separately. State what each log proves. Do not invent prices for individual parts if the sale did not split the package that way.

What If a Client Missed a Coaching Session?

Check the agreed time, access link, availability, reminders and changes. Then review the actual cancellation terms and messages. A calendar booking alone does not prove that the session was accessible or that the charge was valid.

What Coaching Records Should Be Included in Dispute Evidence?

Include the sold scope, relevant service history, cancellation records, messages and completed remedies. Link them to the disputed charge. Leave out unrelated private discussions. Explain source dates and gaps. Follow your provider's file and submission rules.

Sources checked: November 3, 2026. Worksheets are editorial tools. Case IDs, amounts and timelines are hypothetical. They do not show customer results or forecast recovery. Check current provider and case rules before you submit.
