Free-Trial Conversion Chargebacks: Build a Defensible Billing Timeline

En bref :

  • Preserve the offer and checkout terms the customer actually saw, including price and conversion timing.
  • Separate trial end, invoice creation, payment attempt, capture and cancellation-effective time.
  • Keep reminder delivery evidence without treating a sent email as proof it was read.
  • Investigate errors and valid cancellation claims instead of treating all trial disputes as abuse.

A free-trial conversion chargeback is a formal card dispute involving the first paid charge after a trial or promotional period. A merchant's response should explain the offer the customer accepted, when paid billing was scheduled, any reminder and cancellation events, and the amount actually collected. Evidence that the account was used during a free period does not by itself establish consent to the paid charge.

This article focuses on the trial-to-paid transition. Routine recurring renewals belong in the broader subscription chargebacks guide, while metered consumption belongs in the usage-based billing evidence guide.

Why free-trial chargebacks require more than a receipt

A receipt can establish what was charged, but the complaint often concerns what happened before collection. The customer may dispute the price, the conversion date, the authorization or a cancellation that did not take effect. Each allegation needs a different part of the timeline.

Do not assume that entering card details establishes every element of consent to a later payment. Preserve the disclosed offer, customer action and version associated with signup. A current checkout page is not evidence of what a customer saw months earlier.

The trial-to-paid evidence timeline

  1. Offer and signup

Trial length, post-trial price, billing interval and recorded consent.

  2. Reminder

The notice, destination, send time and available delivery status.

  3. Cancellation

Any request, confirmation, effective time and system result.

  4. Conversion

Trial end, invoice, payment attempt and actual capture.

  5. Litige

The allegation, amount, notice and response deadline.

An evidence framework. These records may be created by different systems and must be reconciled.

Free-trial conversion evidence starts with the offer

Retain a versioned record of the trial length, post-trial price, currency, billing interval, conversion timing and cancellation instructions. Link it to the customer/account and the consent event. Keep material customer-specific promises from support or sales with the record.

If the offer changes, preserve the previous version rather than overwriting it. If an experiment displays different terms to different cohorts, identify the version shown to the disputed customer. A generic screenshot cannot establish which variant applied.

Distinguish a free trial, a discounted paid trial and a temporary feature trial on an existing paid plan. They can create different invoices and expectations. Stripe's trial-offer documentation describes multiple configurations; your evidence should reflect the actual one used.

Reconcile five times around conversion

Time Source to inspect Pourquoi c'est important
Trial end Subscription or offer record Establishes the scheduled boundary
Reminder send Messaging platform and content version Shows what notification was attempted
Cancellation receipt/effect Product, support and billing history Distinguishes a request from the applied result
Invoice finalization Billing platform Establishes the amount and period billed
Payment capture Processeur Identifies the card movement actually disputed

Use one timezone in the investigation or show conversions explicitly. Keep original timestamps as well. A local-date comparison can hide a cancellation that arrived before the actual billing boundary.

Hypothetical cancellation boundary check

One customer, two clocks

A trial ends at 12:00 UTC. A cancellation request is logged at 11:58 UTC, but the billing service processes a payment at 12:01 UTC. Investigate receipt, effective time and system behavior before calling the charge valid.

Illustrative timeline only. It is not a network deadline, legal conclusion or real customer case.

The point of the example is to trigger investigation, not to assign liability from three timestamps. Check when the customer submitted the request, when the business received it, what effective time was promised and how the billing integration behaved. A delayed queue should not be presented as a timely customer action that never happened.

Verify reminders and cancellation information

Stripe's trial-compliance guidance describes reminder and cancellation features, including a seven-day reminder setting and immediate reminders for shorter trials when enabled. Those are documented product behaviors, not a universal statement of every merchant's legal or network obligations.

Confirm your actual network, processor, market and offer requirements. If you send your own messages, preserve their content, destination, send time and available delivery status. An event indicating that a reminder was scheduled is not necessarily proof the message was delivered.

Make cancellation information accessible and consistent across the offer, reminder, account portal and support team. If a customer cancels an add-on trial while retaining a base subscription, record which item was affected. A single “subscription active” flag can hide that distinction.

Audit changed trial dates and mixed paid items

A trial investigation needs the configuration in effect for the disputed item. Stripe now documents trial offers separately from legacy subscription free-trial periods. The newer trial-offer flow can mix introductory and regular-price items; its documented restrictions differ from the legacy flow. Do not infer that every item on a subscription was free, or that a support-approved extension reached the billing system.

A trial extension needs a complete change record

  • Original promise

Keep the first offer version, trial item, end time and post-trial price.

  • Changed promise

Record who approved the extension, the revised end time and what the customer was told.

  • Applied configuration

Retrieve the item-level result and invoice lines. A support confirmation alone does not establish a billing change.

  • Conversion comparison

Match the actual paid item, service period and capture to the original or revised promise. Explain any difference.

Original editorial audit. Check the actual product, API version and account configuration; this is not a universal trial-setting procedure.

For Stripe implementations, compare the current trial-offer and free-trial-period guidance. A documented limitation in one flow should not be generalized to another. Preserve the recorded result when a change was unavailable or failed, then investigate the customer-specific remedy.

Match the response to the customer's allegation

“I did not agree to paid billing”

Find the versioned disclosure and acceptance record. Explain the price and timing that were presented and link the event to the relevant account and payment. Investigate missing or contradictory records rather than asserting consent from product use alone.

“I canceled before the trial ended”

Review the request, confirmation, effective date and processor charge. Include support promises and failed cancellation attempts known to the business. If the charge resulted from an error, use the permitted resolution route instead of defending the default configuration.

“The amount was different from the offer”

Reconcile the paid price, interval, discounts, tax and any additional items. Show which part of the trial converted. A valid base subscription does not automatically explain a separately disputed feature or seat charge.

“The card was used without authorization”

Investigate the authorization and account-control facts. Do not use a trial login as conclusive proof that the legitimate cardholder approved the paid transaction. Preserve security incidents and relevant account changes.

What a record can—and cannot—establish

Signup acceptance

Can support the terms accepted when linked to the customer and version; does not prove every later charge was correct.

Reminder sent

Can support dispatch; does not establish delivery or reading without further evidence.

Product activity

Can support service use by an account; does not automatically establish cardholder authorization.

Cancellation event

Can show receipt and processing; must be reconciled to the effective date and charge.

Use precise statements in the case packet and include contradictory records in the investigation.

Build a compact trial-conversion case packet

Lead with the payment, amount and allegation. Add the relevant offer and acceptance record, a short dated timeline and the supporting reminder, cancellation and invoice records. Explain the purpose of each attachment so a reviewer does not need to interpret several unrelated system exports.

For a cancellation claim, the timeline should be central. For a pricing claim, the accepted offer and invoice reconciliation should be central. Keep the other records available without burying the answer beneath a complete activity history.

Use the processor's permitted evidence and submission process. Keep the formal deadline active even while support is discussing a remedy. A customer promising to withdraw a dispute does not substitute for the processor confirming the case state.

Avoid a duplicate refund during resolution

Once a formal chargeback exists, confirm which financial action the processor permits. A goodwill refund sent outside the case can overlap with the issuer's debit. Check completed and pending credits before sending additional money.

Our double refund and chargeback guide explains the reconciliation task. If the correction is an invoice credit rather than a card refund, describe it accurately to the customer and preserve the actual movement.

Improve the trial experience from confirmed causes

Review whether disputes cluster around an unclear conversion date, a different displayed price, a missing reminder, cancellation failures or unexpected added items. Keep the investigation finding separate from the processor's reason code. Fixing those causes can improve billing accuracy and customer trust.

Test the lifecycle after changing trial length, offer experiments or billing integrations. Include cancellation immediately before the boundary, a failed first payment, a reminder bounce and an item-specific cancellation. Use synthetic or properly redacted test records.

Foire aux questions

Why is a customer getting charged for a free trial?

A customer can see a charge when an agreed trial converts to a paid subscription or when the offer includes a separate paid item. Merchants should verify the disclosed price, conversion timing, consent and cancellation history. A charge caused by a billing error requires investigation rather than an automatic assumption of valid renewal.

What evidence supports a free-trial chargeback response?

Useful evidence includes the offer and terms shown at signup, acceptance record, reminder history, cancellation events, first paid invoice and card payment. Organize the packet around the actual allegation. Product activity during the trial can support use, but it does not alone prove consent to the paid charge.

Does using a free trial prove authorization for the paid subscription?

Using a free trial does not automatically prove that the legitimate cardholder authorized a later paid subscription. Preserve the relevant billing disclosure and acceptance event, and investigate account-control and payment facts. Evidence should distinguish free-period activity from consent to the specific paid amount and timing.

What if the customer canceled just before conversion?

Investigate the request time, receipt time, promised effective time and actual billing events in a consistent timezone. Include failed processing and support confirmations. Do not assume the charge was valid merely because the billing platform still showed an active subscription when the payment ran.

Do trial reminders prove the customer read the notice?

A sent reminder does not prove the customer read it. Preserve what was sent, to which destination, when, and any available delivery status. Distinguish scheduled, dispatched, delivered and opened events where recorded, and avoid making a stronger statement than the messaging evidence supports.

Should merchants refund a trial charge after a chargeback opens?

Merchants should confirm the processor’s permitted resolution route before issuing another refund after a chargeback opens. The issuer may already have debited the principal, creating overlapping credits. Reconcile completed and pending movements and keep the formal response deadline active until the case state is confirmed.

Continue your SaaS chargeback workflow

Use the subscription chargeback program for lifecycle ownership, the SaaS chargeback software comparison to evaluate evidence coverage, and Chargeflow for SaaS to review supported recovery workflows.

When a request did not reach billing as promised, use the cancellation synchronization audit. When the complaint concerns a missing feature or failed service rather than the invoice calculation, use the software promise and delivery worksheet.

Sources reviewed 25 October 2026. The timeline examples are hypothetical. Reminder features do not establish universal legal compliance, and program requirements must be verified for the applicable market and processor.
