En bref :
- Find out who collected the payment first: you, Airbnb, Vrbo or a separate supplier.
- Vrbo says it disputes chargebacks for payments made through Vrbo. Airbnb says the guest’s bank takes over once a chargeback starts.
- Save the listing version and promises from the time of booking.
- A code that was sent is not proof the guest could get in.
- Treat damage charges, deposit holds and refunds as separate payments. Standard card holds last about 7 days, so long stays may need an extended hold.
- You often have only 7 to 21 days to respond, and usually one chance to submit.
A vacation rental chargeback is a card dispute over a short-term stay or a related property charge. To answer one, tie the charge to the listing sold, the guest’s access and the facts behind the complaint.
This guide is for hosts and property managers. For payment roles, see the broader travel playbook.
Confirm the Vacation Rental Payment Route
This section also shows how to spot an Airbnb or Vrbo chargeback that the platform owns. It is written for merchants, not for guests seeking a refund.
Start with the dispute notice. Note the merchant account, charge ID, amount, currency, booking reference, reason and response deadline.
Then find out who collected the money. It could be the property manager, the booking platform or a separate supplier.
The booking channel's name does not tell you who owns each charge. A platform may collect the rent while the manager collects a deposit or fee. Give each payment its own reference and tie it to the booking.
If the platform collected the payment, ask how it wants your evidence. A guest-support complaint and a formal processor response are two different workflows. Never send documents to a processor account that does not hold the disputed payment.
Find the collector before assigning the response
Manager collected
Locate the actual merchant account and payment case; request property evidence internally.
Platform collected
Confirm the platform’s evidence handoff for the particular guest collection.
Several payments
Separate accommodation, deposits and later debits; identify which transaction is disputed.
Payment arrangements vary. This is a routing worksheet, not a universal platform-liability rule.
How Airbnb and Vrbo describe chargebacks
Both platforms publish short notes on chargebacks. They help you decide who acts next.

Who handles the chargeback?
Airbnb
The bank takes over
Once a guest starts a chargeback, updates come from the bank. Airbnb can no longer settle it with the guest. The bank may take up to 90 days.
Vrbo
Vrbo disputes it for you
For payments made through Vrbo, a team gathers facts and fights the chargeback for the host. The card company decides. If the host took the payment, the host owes any refund due.
Direct booking
You are the merchant
If your own processor took the card, the case comes to you. You build and send the response before the deadline.
Sources: Airbnb Help, disputed charges, Vrbo Help, prevent chargebacks and Vrbo host refunds policy. Platform terms change, so check your own host agreement.
Vrbo also says it may act against guests who abuse chargebacks. Its refunds policy bars repeated or clearly abusive chargebacks, and breaking the policy can lead to suspension. Keep your messages on the platform so a team can see them.
Stripe’s vacation-rental payment processing guide gives useful payment-provider context. When there are several collectors, use Chargeflow’s OTA responsibility guide to keep guest payments and supplier flows apart.
Preserve the Listing Version the Guest Purchased
Save the listing and confirmation tied to the sale. Include the property, capacity, bedrooms, amenities, location, access plan and key limits. Keep any notes or messages that changed the offer.
Today’s listing may not match the one shown at booking. Link the saved version to the reservation and payment.
A photo of a similar unit does not prove the condition of the booked unit. If you swapped the property, save the offer you made and the guest’s actual reply. An updated reservation does not prove the guest agreed.
Keep the original record when you fix a wrong listing. The fix helps future guests. It does not show what this guest was promised. Your evidence should mark the booking-time version apart from later edits.
Classify the Vacation Rental Chargeback Claim
Each claim type needs its own investigation. Common ones are access denied, property not as described, cancellation, missing refund and a later damage charge. Read the complaint. Do not treat every case as a no-refund-policy dispute. A signed rental agreement alone will not answer every claim.
| Allégation | Evidence to investigate | Record that is insufficient alone |
|---|---|---|
| Access not provided | Check-in instructions, credential status, support and successful/failed access events | A message showing only that a code was generated |
| Property not as described | Purchase-time listing, actual unit condition and affected amenities | Today’s edited listing or a generic agreement |
| Cancellation | Applicable booking terms, original request, response and availability | A final canceled/no-show status without the timeline |
| Refund missing | Approval, original payment and completed credit | A manager’s promise to refund |
| Later damage debit | Specific payment, applicable charge conditions and incident evidence | An unexplained post-stay photograph |
The grid shows which facts are missing. It does not decide who gets a refund or predict the result. Record the claim in the guest’s own words. Then look into the exact amenity, access problem or charge they name.
Match the claim to its reason code
The dispute notice carries a network reason code. The code tells you which story the bank will test. Stripe groups the card codes into categories, and the vacation rental ones look like this.
Card network reason codes
Where rental claims usually land
Could not get in
Visa 13.1, services not received. Lead with the access timeline.
Not as listed
Visa 13.3, not as described, or 13.5, misrepresentation. Lead with the booking-time listing.
Canceled or no refund
Visa 13.6 or 13.7, Mastercard 4860, Amex C18 or 170 for a canceled lodging booking. Lead with the terms and the refund record.
Damage charge
Mastercard 4834 covers charges for loss, theft or damage. Lead with the charge terms and the incident proof.
Did not book it
Visa 10.4 or Mastercard 4837, fraud. Lead with proof the cardholder booked and stayed.
Source: Stripe, dispute reason code categories. Codes are examples. Always read the code on your own notice.
A cancellation claim can also arrive as a no-show dispute. The hotel no-show guide covers that pattern in more depth.
Separate Issued Access From Working Access
A lock code can be created, sent, delivered and used at different times. A text or email marked sent does not prove the guest got it. A code tied to the booking does not prove it worked during the stay.
Check the code’s valid dates, the lock or entry events, the unit it was set for and the support history. Explain what each system record means.
A door-open event may not show who entered or prove a full stay. A failed entry may need context, such as a changed code or the wrong unit.
Leave out access history that has nothing to do with the booking. Keep the original time zone. If two system clocks disagree, explain the gap. Do not quietly change the order of events.
Worked Case: The Code Was Sent but Check-In Failed
Hypothetical example. A guest pays $800 for two nights at rental V-610. The manager sends a code on the morning of arrival. The lock record shows the code was not active until the next day. At the agreed check-in time, the guest calls support and cannot get in.
Hypothetical access failure: the missing event
1 · Code generated
A credential exists for booking V-610.
2 · Code sent
The message history shows it was sent before arrival.
3 · Guest cannot enter
The credential was not active at the agreed check-in time.
4 · Resolution investigated
Locate any working alternative and completed remedy; do not equate sent access with working access.
Illustrative $800 booking. No customer outcome or refund entitlement is predicted.
The sent message does not settle the access failure. Find out whether support gave the guest a working option, when it worked and what remedy was completed.
If the home was not available as promised, handle the service and payment fix properly. Do not submit only the code-delivery screenshot.
To prevent a repeat, check code start dates against arrival dates. Watch for failed-entry alerts. A longer rental agreement would not have fixed this scheduling error.
Worked Case: A Material Amenity Was Unavailable
Hypothetical example. A listing offers a private pool for a $1,000 stay. The pool is closed for the whole booking. The guest stays in the home but disputes the payment as not as described.
Save the listing version, repair history, any notice sent before arrival, the guest’s complaint and your reply. Staying in the home does not prove the pool was open. Your notes should also record what lodging and other services the guest did get.
Say the manager offered a $150 credit. Record the offer, any acceptance and the payment actually made. Do not invent a value for the pool or claim that $850 was automatically owed. The case needs the exact promise, what was delivered and the terms that apply.
Treat Damage Debits as Separate Cases
A later damage charge is its own transaction. Identify it and its terms apart from the original stay charge. The first rent payment or a rental signature does not cover every later charge.
Link the incident to the right property, stay and before-and-after condition records. Explain how you set the amount. Keep facts that cut against you, such as earlier repair issues.
The hotel damage and incidental guide shows a related pattern. Still, check the rental’s own merchant and processor rules separately.
Keep a damage claim, a deposit capture and a released hold apart. A property may call all three a security deposit. Use the processor record to show what really happened. The hotel deposit ledger explains the money side, though it does not set rental-specific rules.
Check how long a deposit hold lasts
Many hosts place a card hold for the security deposit instead of charging it. A hold does not last forever. If it expires before checkout, the funds are released. Any damage charge after that is a new transaction that the guest can dispute on its own.
Stripe, online card holds
How long a deposit hold can stay open
Visa hold on a charge the merchant starts
Standard online hold, most cards
Extended hold, lodging categories
Sources: Stripe, place a hold on a payment method and Stripe, extended authorizations. Visa’s exact windows are 4 days 18 hours and 29 days 18 hours. Extended holds depend on card brand and merchant category. Amex lodging holds must be captured by the end of the stay.
For a stay longer than a week, a standard hold may lapse before checkout. Ask your processor whether your merchant category qualifies for an extended hold. At Stripe, extended holds come with IC+ pricing. Amex allows them only for lodging and vehicle rental.
Stripe also warns that longer holds can confuse guests. Use a clear statement descriptor so the guest knows the name on the hold.
Build a Focused Property Case Packet
Start with a cover page. Name the payment, booked unit, dates, claim and your checked finding.
Add an exhibit index. List the booking-time listing, confirmation, access or condition records, guest messages and any completed remedies. Say what each record proves and what is still unknown.
Shape the packet to the claim:
- For an access case, show the real availability timeline.
- For a listing complaint, compare the promise with the condition delivered.
- For a cancellation, rebuild the request and the terms that applied.
A generic packet of agreement, ID and property photos cannot replace that claim-specific explanation.
Use Chargeflow’s evidence source map to assign records to booking, property operations, maintenance, support and payments. Keep the original records and make your notes easy to tell apart. Leave unrelated guest details out of the packet where you can.
You usually get one chance to submit. Stripe, for example, sends the response to the bank right away, and you cannot add files later. Banks also will not open links, audio or video, so put every proof inside the file.
Coordinate Refunds and the Open Dispute
Keep a ledger of captures, completed refunds, the disputed amount and later adjustments. Keep platform credits and manager remedies apart until you confirm how they relate. A zero booking balance does not show which payment fixed the guest’s complaint.
Before you send another remedy, check the open case and any credit already issued. Support and payments should agree on who may take the next step. At Stripe, you cannot refund a payment outside the dispute process while the dispute is open. A chat with the guest does not count as the formal response or pause its deadline.
Use the deadline and time zone from the actual notice. Set an earlier internal target for collecting evidence and confirm the final submission. Chargeflow’s reconciliation guide shows how to match the final decision with the money movements.
The vacation rental dispute timeline
Rental disputes can arrive long after the booking. For a future stay, the filing window usually starts on the stay date, not the payment date.
Typical card dispute timing
From the stay to the bank’s decision
Étape 1
120 jours
Common window for the guest to file. For a future stay, it often starts on the stay date.
Étape 2
7 to 21 days
Time you have to respond after the chargeback opens. Miss it and you lose.
Étape 3
60 to 75 days
Time the bank usually takes to review your evidence.
Frais
$15 + $15
Stripe U.S. fee per dispute, plus a fee to counter it that comes back if you win.
Sources: Stripe, how disputes work and Stripe dispute pricing. Ranges vary by card network. Your notice sets your real deadline.
The full process often takes two to three months. Plan staffing for the response window, not the decision date.
Fix the record that the claim exposes
Access complaints
Check activation schedules, delivery and failed-entry support handoffs.
Listing complaints
Retain offer versions and notify affected bookings of material changes.
Refund complaints
Join the approved remedy to the completed payment reference.
Damage complaints
Keep before/after condition, charge conditions and amount evidence separate.
Suggested operational controls. Measure results on comparable booking and claim types.
Evaluate Automation Against the Rental Payment Stack
Test with a real booking, with personal data removed. Check the links between payment, listing version, access system and support records. Confirm which data you can pull automatically and which an owner must supply. A payment connection alone may not hold the lock or repair evidence.
Chargeflow for travel and Chargeflow Automation help merchants review supported dispute-response workflows. Confirm your processor and rental setup with the team before you assume built-in support for a booking platform or property-management system (PMS).
