Shopify Chargebacks: How to Win, Avoid and Respond

TL;DR:
- Shopify Payments formal cases are answered from the order's dispute details by the displayed due date, using automatic evidence plus any missing claim-specific records.
- The $15 fee is documented for US Shopify Payments only, and other countries and gateways handle fees differently.
- PayPal orders and other gateways are answered in that provider's own portal, with its own fields and deadlines.
- Shopify Protect applies to eligible protected Shop Pay orders and specified fraud or unrecognized conditions, so read the protection status on each order.
- Visa's VAMP excessive-merchant line depends on event counts and acquirer context, so it is not a universal restriction rule.
A Shopify chargeback is a dispute of a payment tied to a Shopify order. The payment gateway and case status decide where you respond, what evidence you can use, and how funds or fees are handled.
Behind every case, a cardholder asks their bank to reverse a charge instead of asking you for a refund (see what is a chargeback). The bank may file a chargeback right away or start with an inquiry. Your payment service provider often moves the funds. The issuer will not always contact you first.
To win, confirm which gateway took the payment. Then respond by the due date on the case, with proof that matches the dispute reason: delivery confirmation, authorization details or refund records. Need the fees, deadlines and reason codes at a glance? See our Shopify chargebacks quick reference.
How to manage chargebacks on Shopify stores: step by step
Here is the process for a Shopify Payments chargeback, from the first alert to the bank's decision. Orders paid through PayPal or another gateway follow the routing section further down.
- Get notified the moment a dispute lands. Shopify emails you and flags the order in Shopify Admin under Orders → Chargebacks and Inquiries. Add a Shopify Flow "Dispute created" trigger to tag the order or alert your team.
- Check the payment route and Shopify Protect status. Is it a protected Shop Pay order, with a fraud or unrecognized dispute that Shopify Protect covers? Then Shopify handles it under its terms, and you do nothing. Protection is set per order, so read the status on the order itself.
- Read the reason and the deadline. Shopify sorts disputes into eight reason categories (see the matrix below). The due date is shown on the dispute. Some network resolution routes have no normal evidence window.
- Contact the customer first. Many "fraudulent" and "unrecognized" disputes are a forgotten purchase or a family member's order. If the cardholder agrees, ask them to withdraw the dispute with their bank. Keep their written OK as evidence.
- Build evidence that matches the reason. Shopify Payments can fill in case evidence from the order. Review it and add the records it is missing, such as delivery proof for product not delivered or refund records for credit not processed.
- Submit before the due date, or let Shopify submit for you. If you have not sent it, Shopify sends the collected evidence on the due date. If you click "Submit now" early, you cannot edit the response later. So finish your evidence first.
- Track the outcome and your dispute rate. The issuer decides the case, and fee rules vary by country. Watch your rolling chargeback rate and the Visa VAMP scope below.
Doing steps 3 through 6 by hand for every dispute is where most Shopify teams lose hours. Chargeflow's supported integration with Shopify does this work for you.
It pulls the order, shipping and customer data. It writes a response for the dispute reason and submits it before the deadline. You only do the manual work above when you want to.

Route the Case by Payment Provider and Status
A dispute on a Shopify order is only the starting point. Before you pick an evidence checklist, find out which payment provider took the payment and what the case status is.
Shopify Payments can fill in case evidence, and you can add records up to the due date. Shopify explains this on its Shopify chargeback and inquiry process page. Keep your records tied to the order. See chargeback evidence sources for where each record comes from.
| Order Payment Route | Where to Check | Evidence Task | Coverage Check |
|---|---|---|---|
| Shopify Payments formal case | Order dispute details and due date | Review available automatic evidence; add missing claim-specific records | Country fees and actual case instructions |
| Shop Pay protected order | Protection status and case reason | Follow Shopify Protect handling requirements | Eligible or protected status is transaction-specific |
| PayPal order | PayPal case route and transaction details | Separate the PayPal claim from the issuer chargeback | Applicable PayPal protection terms |
| Other gateway | Gateway dispute portal or integration | Use that processor's fields and deadlines | Do not assume Shopify Payments fees or response route |
PayPal needs its own line. A PayPal claim and a bank chargeback on the same order are two separate cases. The PayPal item not received seller process has its own page.
PayPal's PayPal US Seller Protection terms say coverage depends on conditions and on each order. Two cases are excluded: card-funded item not received chargebacks filed by the issuer, and significantly-not-as-described (SNAD) claims. An "eligible" flag is not a full guarantee.
Illustrative example. A store has one order paid with Shopify Payments and one paid with PayPal. The Shopify Payments checklist does not apply to the PayPal claim. So link each order to its provider first. Treat network pre-dispute resolution as its own route, with no evidence window.
Give each dispute one case owner, whether you build the response by hand or with a tool. That way only one response goes out per case. It also stops anyone from assuming the tool can see payment or shipping records it cannot reach.
How to Win a Shopify Chargeback: Reason Codes and the Evidence to Send
Fight a chargeback when your records answer the claim the cardholder made, such as tracked delivery for a not-received claim. If they do not, or the error was yours, accepting is usually better than sending a weak response.
Shopify groups the reasons cardholders give into eight categories. These map to the network codes in our guide to chargeback reason codes. Use the matrix below: find the reason, send the matching records, and take the first step before you build a response.
| Reason Category | What It Means | Evidence to Send | First Step or Prevention |
|---|---|---|---|
| 1. Fraudulent Transaction | Cardholder says they did not authorize the charge. | Date and time you fulfilled the order, billing information, IP address and country, and shipping and tracking details. Add IP, email, address or phone from an earlier undisputed order, or show the link between a family member and the cardholder. | Contact the cardholder; they may have forgotten the purchase or a relative made it. If they agree, ask them to withdraw the dispute and send proof of that agreement. |
| 2. Transaction Unrecognized | Cardholder does not recognize the charge or merchant name on the statement. | Fulfillment date and time, billing information, IP address and country, and shipping and tracking details. | Contact the cardholder first. A clear merchant descriptor and AVS and CVV checks reduce these. |
| 3. Duplicate Charge | Cardholder believes they were billed twice for one transaction. | Transaction details and the reason for each charge, receipts showing separate products or services, and any communication explaining the charges. | Check your books. If you did charge twice, accept the dispute. |
| 4. Canceled Subscription | Cardholder says they were billed after canceling, or forgot the subscription. | Your cancellation policy, notices about the cancellation, when and where the policy was shown, and for digital goods an activity log showing access after the claimed cancellation. | A clear cancellation policy and a reminder before recurring billing prevent many of these. |
| 5. Product Not Delivered | Customer says the goods or services never arrived. | Pickup: signed pickup form and ID details. Shipped: tracking, delivery date and time, and delivery to the billing address. Digital: IP address, timestamps and activity logs. | A written shipping and fulfillment policy helps. Some customers received the item and dispute anyway, so delivery evidence matters. |
| 6. Product Unacceptable | Item arrived defective, damaged, counterfeit or not as described. | Communication with the customer, product pages showing the item as described, evidence that no return was attempted, and shipping details including carrier, ship date and address match. | Accurate product pages and fulfillment checks address the usual root causes. |
| 7. Credit Not Processed | A return or cancellation has not been refunded or credited. | Your refund and return policies, when and where the customer saw them, communication about the refund, and either proof of an earlier refund or why no refund was owed. | Keep the written policy and the actual refund process aligned. |
| 8. General | Does not fit Shopify's other categories. | Product information, order and fulfillment dates, billing details, IP address, country, emails and carrier tracking, plus proof of prior refunds or replacements. | Start from the order record and send the broadest relevant set. |
Fraud and unrecognized disputes are not all stolen-card fraud. Some come from a cardholder who did make the purchase. That is why friendly fraud is its own topic, and you should never judge intent from the claim alone.
Review orders before you ship them. Shopify fraud analysis gives risk signals on eligible orders. If no analysis is shown, treat that as unknown, not low risk. Shipping risky orders without review can raise your dispute count. See how to handle Shopify high risk orders, and add a wider ecommerce fraud prevention routine.
For credit not processed disputes, the key record is the one the customer saw at checkout. Keep your written Shopify refund policy in line with the refund and return rules you set up.
How to Avoid Chargebacks on Shopify
- Use a clear billing descriptor. Recognizable statement names reduce "unrecognized" disputes.
- Confirm delivery. Use tracked shipping so you can show the item arrived.
- Review high-risk orders before fulfilling. Use the fraud analysis and high risk order tips above. Hold suspicious orders until you check them.
- Refund promptly when a refund is the right answer. A refund you issue is usually cheaper than a dispute, which can carry a fee.
- Publish a clear return policy. Show it at checkout and keep it in line with your refund settings.

Shopify Protect vs Chargeflow: What Each One Covers
Shopify Protect is Shopify's built-in chargeback protection for eligible protected Shop Pay orders. It is a useful first layer. It covers set fraud and unrecognized dispute cases under its rules, listed on the Shopify Protect help page.
It does not cover every order, every gateway or every complaint. Chargeflow is a dispute automation platform. It collects and submits evidence for the disputes Protect does not cover, so the two work together.
What Shopify Protect covers
- Dispute types: the fraudulent and unrecognized cases Shopify lists. These match reason categories 1 and 2 in the matrix above.
- What happens: for an eligible protected order, Shopify handles the dispute. It credits back the disputed amount and the chargeback fee, so you do nothing.
- Eligibility: it depends on the order. Factors include payment through Shop Pay, the type of goods, shipping and tracking rules, and where the store is based. Check the protection status on each order, not store-wide.
| Scenario | Shopify Protect | Chargeflow |
|---|---|---|
| Fraudulent or unrecognized dispute on an eligible protected Shop Pay order | Covered under its terms; Shopify handles the dispute | Not needed; Chargeflow detects the Protect status and skips it |
| Fraud dispute on an order that is not protected | Not covered | Evidence built and submitted automatically |
| Product not received, not as described, credit not processed, duplicate, subscription | Not covered | Handled with reason-specific evidence |
| Digital goods, pickup orders or other orders outside Protect's requirements | Not eligible | Covered |
| PayPal, Stripe, Klarna and other gateway disputes | Not part of Protect; each provider's own process applies | Handled across connected gateways |
| Stores outside Shopify Protect's eligible countries | Check current eligibility | Available |
| Pricing | Free with Shop Pay | Success-based; you pay only on recovered disputes |
The full Shopify Protect coverage matrix by order type and dispute reason is linked in step 2 above.
How Chargeflow complements Shopify Protect
Keep Shopify Protect switched on. Then let Chargeflow's Shopify app handle what Protect leaves out: unprotected orders, delivery and quality disputes, and gateways Shopify cannot see.
Chargeflow reads each dispute's reason and pulls the order, shipping and customer evidence from your store. It submits before the due date and reports your win rate and rolling dispute ratio. For a side-by-side of apps, see the best chargeback solutions for Shopify.
For the Shop Pay route, read Shop Pay chargebacks and protection eligibility. Check the real protection status instead of assuming every Shop Pay order is covered.
Fees, Due Dates and Visa VAMP Scope
Shopify lists Shopify Payments chargeback fees and due dates in its help center, and fees vary by country. For US Shopify Payments, the stated fee is $15 per dispute.
Do not apply that figure to PayPal, Stripe, Klarna or any other gateway. Each sets its own fee. Our guide to chargeback fees and costs covers the wider picture.
Visa's monitoring is separate from Shopify. The Visa Acquirer Monitoring Program (VAMP) ratio adds TC40 fraud reports and TC15 disputes. It then divides that total by settled TC05 card-not-present transactions. Qualifying pre-dispute resolutions and CE 3.0 fraud can be left out.
Visa lists the merchant limits in its Visa VAMP fact sheet, and they depend on the acquirer's own status. They apply to Visa only, not Mastercard. They are not a single rule that restricts every merchant.
A reserve or account review on a Shopify store is decided per account. So read the notices in your payments account rather than assume a fixed percentage. Unsure where you stand? Calculate your chargeback ratio first.
| Item | Scope | Source |
|---|---|---|
| Chargeback fee | $15 documented for US Shopify Payments; varies by country; other gateways set their own | Shopify Help Center |
| Evidence due date | Shown on each dispute; network resolution routes may have no ordinary evidence window | Shopify Help Center |
| Visa VAMP ratio | TC40 fraud plus TC15 disputes over settled TC05 card-not-present transactions | Visa VAMP fact sheet |
| Excessive merchant, AP, Canada, EU, US and LAC (from April 1, 2026) | At least 150 basis points and at least 1,500 monthly fraud and dispute count, in the stated acquirer context | Visa VAMP fact sheet |
| Excessive merchant, CEMEA (from April 1, 2026) | 220 basis points, 150 count and USD 75,000, in the stated acquirer context | Visa VAMP fact sheet |
The 1,500 minimum counts fraud and dispute events, not sales. Some merchants are also placed in Shopify Payments' Network Dispute Resolution Program. It can settle eligible disputes before evidence is requested. See the NDRP answer below.
Chargeback Insurance and Protection on Shopify
"Chargeback insurance" and "chargeback protection" can mean three different things. Shopify Protect, covered above, is built in for eligible protected Shop Pay orders.
Third-party chargeback guarantee or insurance products are separate services. Their rules, fees and coverage vary by provider, so read what is excluded. Dispute automation does not guarantee against losses. It prepares and submits evidence for the disputes you get. Compare each one on which orders and reasons it covers, what you pay, and what you still do yourself.
How Many Chargebacks Are Allowed on Shopify?
Shopify does not publish one allowed number. Card networks and your acquirer set the limits. The Visa VAMP scope above, 150 basis points and 1,500 monthly events, applies to Visa only and depends on the acquirer. High rates can trigger a review, so check your provider's notices.
Chargeback rate is disputes divided by transactions in the same period, shown as a percentage. Shopify tells you about a new dispute by email and in Shopify Admin.
If payments or payouts are restricted, read Shopify Payments account suspension. It explains account holds, reserves and the review steps in the owner notice.
Frequently Asked Questions About Shopify Chargebacks
Are all Shopify chargebacks handled in the same place?
No. Not every Shopify chargeback follows the same route. The payment gateway and case status decide where you manage evidence and decisions.
Does Shopify Protect cover every Shopify order?
No. Shopify Protect covers eligible protected orders and set dispute reasons under its terms. Check each order's protection status rather than assume store-wide coverage.
How do I win a chargeback on Shopify?
Match your evidence to the dispute reason and submit it by the due date on the case. Your best proof is delivery records, IP and billing details, and customer messages tied to the reason, such as fraud, product not delivered or duplicate charge.
How many chargebacks are you allowed on Shopify?
There is no single published limit. Networks and your acquirer set the limits. Your payments account notices show where your store stands.
Does Shopify offer chargeback insurance?
Shopify Protect covers eligible protected Shop Pay orders only. Third-party guarantee products also exist, and their terms differ by provider.
What is the Shopify chargeback fee?
For US Shopify Payments, the stated fee is $15 per dispute, and fees vary by country. Other gateways set their own fees, so check the provider that took the payment.
Is there a chargeback rate that gets a Shopify store restricted?
Do not assume one universal number. Reserve or account decisions depend on your account, so read the notices in your payments account. Visa's VAMP limits are separate and depend on event counts and the acquirer.
Where do I find chargebacks in Shopify Admin?
Go to Orders → Chargebacks and Inquiries in Shopify Admin. Each dispute shows the reason and the evidence due date. You can also set up a Shopify Flow "Dispute created" trigger to alert your team.
How long do you have to respond to a Shopify chargeback?
The due date is shown on the dispute in Shopify Admin, and it can differ by case. If you do nothing, Shopify submits the evidence it has on the due date. Once you click "Submit now," you cannot edit the response. The issuer decides the case.
How are PayPal chargebacks handled on a Shopify store?
Outside Shopify. Disputes on PayPal and other third-party gateways follow that provider's own process and timelines. Shopify cannot access or manage your PayPal account. PayPal claims run through PayPal's Resolution Center, where Seller Protection may apply if its conditions are met.
What is Shopify's Network Dispute Resolution Program (NDRP)?
The NDRP is a Shopify Payments program. It can settle eligible disputes through the card network before the usual evidence step. So it is a separate route with no normal evidence window. Fees and eligibility depend on your account and country.
Automate Your Chargebacks, Let Technology Do the Work!
The steps above cut down valid disputes. But they cannot stop every baseless one, and strict rules can also cost you sales. Every case that slips through brings its own fee and its own deadline.
Good chargeback management pairs automated evidence collection with ongoing chargeback mitigation. For industry context, see our Shopify statistics and chargeback statistics roundups.
