Resumo:

  • Identify the exact installment in dispute and link it to the original purchase and service.
  • A fixed purchase paid over time differs from an ongoing subscription, even if your billing tool uses that label.
  • Keep collected, failed and future payments separate. Uncollected installments are outside captured dispute principal.
  • Canceling future charges does not refund earlier payments. Verify each refund against its original charge.
  • Check open-case rules before sending another remedy to avoid returning the same money twice.

For course payment-plan chargebacks, identify the exact charge in dispute. Link it to the original sale, promised service and any paid refund. Keep future installments apart. A fixed course paid over time is not automatically a continuing subscription.

Track the Charge Before You Review the Plan

Use this guide to link payments and service records. See the online course pillar for the wider proof framework. Use the platform responsibility guide to find where you must respond.

Classify the Course Payment Plan Before Drafting the Response

Save what the student bought: a fixed course, session package or ongoing membership. Keep the total price, payment dates, service period, cancellation terms and refund conditions shown at purchase.

Your billing tool may call a fixed plan a subscription. That label does not define the sale. A continuing service may renew under a true subscription agreement. Explain what the student bought, using the actual terms.

Check BNPL or third-party finance as a separate route. Repayments to a lender are not automatically direct card charges you collected. Use the BNPL evidence guide for a provider-managed case.

Classify What the Customer Agreed to Buy

Fixed Purchase in Installments

One fixed purchase price, paid over several charges.

Continuing Subscription

Ongoing access or service under the actual renewal terms.

Provider Financing or BNPL

A separate finance route. Verify repayments and the case channel.

Use these labels to check the sale. A system's internal name does not define the agreement.

Identify the Particular Installment in the Case

Note the charge ID, amount, currency, date, account, claim and due date. Link the charge to the order and payment plan. Keep earlier charges and paid credits as separate events.

A student may call it “the course charge” when the notice names only payment two. State which charge is in dispute and what it paid for. If several charges have cases, track and answer each as your provider requires.

Keep unpaid, failed and completed payments apart. A failed collection is not captured money lost to a chargeback. Check the actual charge and case history before reporting a loss.

Connect the Plan to Actual Course Delivery

Save the syllabus, access period, release dates, live teaching and feedback promises. Find proof of the relevant service. Match it to the claim, whether about access, missing work, cancellation or a refund.

Evidence question Record to investigate Boundary
What was purchased? Original offer, order and plan terms Today’s edited offer may differ
Which payment is disputed? Individual charge and case Total contract price is not the same as captured case principal
What was available or delivered? Entitlement, release history, sessions and feedback A login does not prove all commitments were supplied
What changed? Cancellation, access change and accepted amendments Canceling a schedule does not refund earlier payments
What remedy completed? Actual credit and original-charge reference Approval does not establish completion

Use the coaching session ledger for live services. Use the promise-versus-delivery guide for a claim about the offer. Payment history adds context. It cannot replace proof of the service in dispute.

Worked Course Payment-Plan Ledger

HYPOTHETICAL EXAMPLE · NO TAX OR FEES

A $900 Course Is Not a $900 Captured Payment

A fixed course has three $300 installments. Two are paid. The student disputes payment two after support approves a $120 partial refund against it.

$300CAPTURED

First Payment · P-101

Link this charge to the original order and plan.

$300CAPTURED + DISPUTED

Second Payment · P-102

This is the disputed charge. Its $300 is already part of the $600 captured total.

$300NOT COLLECTED

Third Payment · Future

Track this unpaid amount apart. It is outside captured dispute principal.

$300 + $300 = $600 captured, before any refund or dispute movement.

Then Verify the $120 Refund · R-103

Approved, Completion Unverified

Keep this credit marked pending. Approval or a canceled future charge does not prove that you returned money.

Only If Completion Is Confirmed

$600 − $120 = $480 captured funds less that credit, before dispute movements. Match the paid refund to P-102.

This example does not establish a right to a refund or predict a result. Check your open-case rules: Teachable Payments blocks refunds during an active chargeback. That restriction is specific to its named payment setup.

Investigate the Meaning of a Cancellation Request

“Cancel my plan” may mean stop future charges, end access, leave a fixed course or request a refund. Save the actual message. Clarify the request and record what you did. Do not assume one action proves another.

Date each action. Keep a record for future payment cancellation, another for access changes and another for refunds. A refund needs its own reference and completion status linked to the original charge.

Check the terms, provider guidance and your duties before changing access. Record any restriction made after a complaint. Do not use the resulting lack of activity to claim that the student never tried the course.

Platform Controls Do Not Replace the Payment Ledger

Kajabi’s transaction-details documentation separates purchases, payment plans and subscriptions. Check the individual charge and actual setup. An offer's overall status does not show the status of every payment.

Teachable’s refund and dispute guidance is dated September 9, 2026. It covers its named payment setup and separates other gateway handling. Check the route used for this sale.

Your course team still needs the original offer and service records. A cancellation button does not prove that a service complaint lacks merit. Save the reason and proof behind your choice.

Build the Installment-Specific Response

Name the charge, purchase, plan, claim and finding in a short cover note. Add original terms, individual payments, relevant service records, messages and completed remedies. Explain the plan in plain language.

For a duplicate claim, check the amounts, dates and charge IDs. Show whether they were valid installments or a real duplicate. A plan alone does not defeat the claim. For canceled recurring billing, save the request and explain the actual agreement.

For a payer-consent claim, review the payer and payment records. Course use may show activity. It does not by itself prove that the rightful cardholder approved that charge.

Chargeflow's digital-goods guide links payments, access rights and use. Add the exact collected installment and any paid refund to that chain.

Coordinate the Open Case and Refund

Check the refund and case status before sending more money. Follow the provider's permitted next step. Give support, billing and the case owner one shared ledger. An approved partial refund and an open case must not cause a double return.

Four Actions with Four Separate Records

Stop Future Collection

Record the schedule change and when it takes effect.

Change Access

Record the permitted access change, date and reason.

Refund a Past Payment

Verify the refund reference, amount and completed status.

Answer the Dispute

Use the live case's channel, rules and due date.

Keep these actions separate. Follow the actual platform and provider process.

A withdrawn complaint, canceled plan or revoked access may leave a formal response due. Check the case's current action and deadline. Save proof of submission and the exact files sent.

If you find a real duplicate or unpaid remedy, address it through the right route. Your review may support accepting or resolving a case. Do not force facts into a denial.

Reconcile by Charge Before Reporting by Course

Match each collected payment, paid refund, case movement and fee to its charge. Then group results by order or course. Keep planned and failed payments apart. They are not captured dispute principal.

Use Chargeflow's reconciliation guide for the wider process. Keep open cases apart from final results. For recovery on one installment, do not use the full course price as the base without explaining that choice.

Look for missing plan terms, vague subscription labels, refunds without charge links and unexplained access changes. Fix those gaps in billing or service. More generic text in a response letter cannot replace the records.

Test Automation Against a Fixed-Plan Case

Bring an anonymized purchase with several payments and an actual remedy. Test whether the workflow can find the disputed installment, keep the original terms and gather service proof. The billing label alone cannot explain the sale.

Use Chargeflow Automation to assess evidence and response support. Confirm your processor, available course records and fit with the team before you expand the workflow.

Perguntas frequentes

Is a Course Payment Plan the Same as a Subscription?

No. A fixed course paid in parts differs from an ongoing subscription. Save the actual price, service period and renewal terms. A billing tool's subscription label does not by itself define the agreement or your response.

Can Each Course Installment Have Its Own Chargeback?

Yes. Find the charge named in each notice. Keep its own case history and follow the provider's rules. Do not merge several payments into an unexplained balance. A reply to one case may not answer another.

Does Canceling Future Course Installments Refund Earlier Payments?

No. Stopping future charges does not return past payments. Save the schedule change apart from refund instructions and paid credits. Link any refund to the original charge. Check with the open-case owner before taking the next payment action.

Should Unpaid Course Installments Be Counted as Chargeback Principal?

No. Keep planned and failed collections outside captured disputed principal. Match each real charge and case before grouping results by course. Explain which amount you use as the base for each metric.

Does Course Access Prove an Installment Charge Was Authorized?

No. Use of a course does not by itself prove that the rightful cardholder approved an installment. Keep the payer link, terms and relevant payment records. Missing service and unpaid refunds need their own proof beyond login logs.
