A credit card chargeback is a card-payment reversal initiated through the issuer’s dispute process. It allows a disputed transaction to be investigated under applicable rules and gives the merchant a response route when the case permits one.

Chargebacks can concern unauthorized use, nonreceipt, product problems, cancellations, or billing errors. A filed dispute does not by itself prove merchant wrongdoing or deliberate customer misuse.

Separate U.S. Billing Rights From Network Deadlines

For covered U.S. credit-card billing errors, Regulation Z’s billing-error rule generally requires the consumer’s written notice within 60 days of the first statement reflecting the error. The creditor generally acknowledges the notice within 30 days unless it has already resolved the matter, and completes resolution within two complete billing cycles, no later than 90 days. Conditions and exceptions apply.

Those consumer-credit requirements are not a global chargeback filing rule or a merchant evidence deadline. Card-network rights can have different conditions. Merchants must use the deadline in their actual provider notice; see chargeback rules. Debit-card disputes have a different consumer protection framework.

Choose Evidence by the Actual Allegation

  • Unauthorized payment: relevant authentication, customer-account, and transaction records.
  • Nonreceipt: the delivery promise, destination, and actual fulfillment outcome.
  • Not as described: the purchase-time listing and an answer to the claimed discrepancy.
  • Cancellation: consent, cancellation timing, and the affected billing period.
  • Incorrect or duplicate amount: payment IDs, agreed amounts, and completed adjustments.

For nonreceipt, delivery evidence must relate to the disputed order. For billing errors, reconcile transactions before responding. An approved payment is not proof of customer consent or a complete answer to a service complaint.

Build a short chronology with readable exhibits. Use a consistent evidence structure so the reviewer can connect each document to the allegation.

Decide Whether to Accept or Challenge

Read the case options and assess the facts. Challenge a claim when the process permits it and your records support the response. If the business made an error, accepting responsibility and resolving the cause can be appropriate.

Do not issue a separate refund without checking whether the disputed payment has already been reversed. A customer’s withdrawal request does not necessarily close the case. Retain submission confirmation and monitor any later notice.

Measure the Real Cost and Prevent Recurrence

Track disputed principal, fees, fulfillment cost, refunds, and recovered funds separately. Avoid a universal chargeback fee estimate; the actual amount depends on the provider and account terms. Record cash recovery only when the corresponding adjustment is confirmed.
